The Event Coordinator role at the Store is pivotal to the success of the sales department and overall event execution process. This position supports the sales team by handling crucial administrative responsibilities that maintain the smooth functioning of event operations. The coordinator manages confirmation calls to verify event details, closely works with both guests and internal teams, and participates actively in booking social market events. The role demands exceptional organizational skills, effective communication abilities, and a proactive approach to managing event-related tasks. The Event Coordinator serves as a key liaison between guests, sales, and operations, ensuring all event requirements and contracts are accurately documented and executed.

This position is essential in bringing the company’s hospitality values to life by ensuring each event fulfills and exceeds guest expectations. The coordinator also assists with site tours, finalizing contracts, follow-ups on administrative duties such as payment collection and invoicing, and providing upsell opportunities post-sale. Job Requirements

  • High school diploma or equivalent
  • prior experience in event coordination or administrative support preferred

Job Duties

  • Go above and beyond to ensure the needs of each Special Events Guest are met, communicating all requests from host to ensure all contracts are updated accordingly
  • take RFPs and calls for social events, converting them to closed "won" business
  • conduct site tours as needed
  • ensure accurate and prompt distribution of all paperwork for "pop up parties" working through management team to ensure they are staffed to support
  • provide administrative support to the Sales Department including follow up on calls/emails/tasks with Event Host after the sale is "closed won", communicating to Operations any changes to BEOs or updated signed contracts
  • follow up on ARs, collect payment information, and close out any remaining balances
  • submit check requests/invoices as needed
  • ensure Operations has the most up-to-date BEO for each event
  • offer "upsell" opportunities to Event Hosts after sale is "closed won"
