The Event Coordinator at Liebert Cassidy Whitmore plays a pivotal role in planning, coordinating, and executing the firm's external events, which include conferences, training programs, webinars, and client engagements hosted by the firm. This full-time position requires a hybrid work schedule with physical presence at the Los Angeles office, typically three to four days per week after the probationary period. The Event Coordinator is responsible for ensuring seamless event logistics, timely communication, and an exceptional experience for all attendees, aligning with the firm's strategic goals, branding, and service standards.

This role involves close collaboration with attorneys, marketing teams, and external vendors to manage complex event timelines, materials preparation, travel arrangements, and on-site execution to deliver professional and polished events that reinforce the firm's reputation and foster strong client relationships. The Event Coordinator engages in continuous improvement efforts by assessing post-event results, identifying trends and efficiencies, and implementing innovative strategies to enhance the firm's event portfolio.

Key responsibilities include managing the full cycle of presentation coordination for conferences, coordinating scheduling, logistics, and support for seminars and webinars across California, liaising with venues and catering providers, supporting business development events such as attorney-client dinners, and representing the firm at external events to boost branding and relationship-building. The role also entails maintaining and updating important databases related to conference proposals, venues, catering, sponsorships, and memberships to ensure optimal resource utilization and strategic alignment.

The ideal candidate will demonstrate outstanding verbal and written communication skills, strong organizational and project management abilities, meticulous attention to detail, and the capacity to adapt and make decisions under pressure. Proficiency with Microsoft Office Suite and experience in CRM and database software are essential, along with experience in a law firm or professional services environment. Job Requirements

Job Duties

  • Collaborate with the business development manager to identify strategic conference and event opportunities and determine appropriate levels of participation
  • partner with key stakeholders to develop and pitch presentation topics aligned with audience interests and firm expertise
  • manage the full cycle of presentation coordination for selected conferences including proposal submission session logistics and post-event follow-up
  • identify and coordinate business development opportunities tied to events such as attorney-client dinners on-site meetings and hosted receptions
  • represent the firm professionally at external conferences and events supporting brand visibility and relationship building
  • coordinate scheduling logistics and execution of firm-hosted seminars and webinars across California including venue booking registration setup and presenter support
  • ensure timely compilation packaging and shipment of seminar and conference materials
  • own end-to-end event logistics liaise with venues order catering prepare presenter materials and ensure smooth on-site delivery
  • respond promptly to client and partner inquiries related to events
  • maintain and update the firm’s conference proposal database tracking submissions and accepted sessions
  • partner with the business development and marketing teams to assess event effectiveness by tracking attendance engagement and business development outcomes
