We are currently seeking a passionate and detail-oriented Event Coordinator to join our dynamic team. This full-time role is essential to managing and elevating both private and Telaya-branded event offerings. The Event Coordinator will be responsible for overseeing all aspects of event planning, from lead generation to seamless execution, ensuring every client’s vision is brought to life within our stunning venue. This role involves proactive outbound sales efforts to market our event space, inbound lead management to convert inquiries into confirmed bookings, vendor coordination, detailed event design, and hands-on event setup to guarantee flawless experiences.

Additionally, this position holds responsibility for developing unique Telaya-branded events, which includes ideation, collaborating with vendors, and promoting these events to increase brand visibility and guest engagement. The Event Coordinator will also manage the website's events section, maintaining an updated calendar featuring all Telaya-branded activities.

The ideal candidate will have at least two years of experience in event planning, hospitality, or sales, preferably within a winery, luxury venue, or high-touch hospitality setting. Superior organizational skills and a keen eye for detail are essential, alongside strong interpersonal abilities to foster robust relationships with clients and vendors. Proficiency with event management software, CRM tools, and floor plan design programs is expected. Flexibility to work evenings and weekends to support event schedules is necessary, and a passion for wine and creating memorable guest experiences will enhance success in this role.

In return for your dedication and expertise, Telaya Wine Co. offers a competitive base salary ranging from $45,000 to $50,000, along with an incentive plan allowing up to 10% of sales above the previous year. We also provide a healthcare stipend of $550 per month and enrollment opportunities in a SIMPLE retirement plan. Job Duties

  • Proactively market Telaya’s event space through targeted outreach including phone calls emails and networking to attract new clients and build a robust event pipeline
  • respond promptly and professionally to inquiries providing tailored information to showcase the venue’s unique appeal
  • guide potential clients through the booking process presenting customized proposals to convert leads into confirmed event bookings
  • liaise with vendors including caterers florists and entertainment to ensure seamless collaboration and high-quality service delivery aligned with client expectations
  • create detailed floor plans and event layouts tailored to client needs optimizing the use of Telaya’s stunning venue while maintaining brand standards
  • oversee the setup of events ensuring every detail reflects Telaya’s commitment to excellence and occasionally provide hands-on support during events
  • develop signature Telaya-branded events to enhance brand visibility and guest engagement including ideation vendor coordination and promotion
  • manage the website calendar including adding all Telaya-branded events to the Events section
  • build and maintain strong relationships with clients ensuring their vision is realized while delivering exceptional customer service
  • participate in the development of marketing collateral
  • maintain accurate records of bookings contracts and vendor agreements and track event budgets to ensure profitability
  • work closely with Telaya’s hospitality and winemaking teams to integrate wine offerings and brand storytelling into events
