Job Requirements
- Bachelor's degree or equivalent required
- Proven experience in event coordination or similar role preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Proficiency in event management software such as Social Tables, Airtable, MailChimp, Bedework, Filemaker
- Customer service experience
- Ability to handle multiple projects simultaneously
- Availability to work onsite during events
- Familiarity with professional style guides and communication standards
- Detail-oriented and proactive approach

Job Duties
- Support logistical arrangements including vendor selection and negotiations
- Liaise with internal and external partners
- Maintain guest list databases
- Track venue reservations
- Maintain event and office supplies and inventory
- Research speakers, guests, and event-related aspects
- Deliver exceptional hospitality and onsite event support including setup and meeting coordination
- Provide customer service for university programs and events
- Answer and monitor event-related phone lines and emails
- Develop and adapt customer service templates and FAQs
- Staff event registration and welcome desks providing relevant information
- Maintain knowledge of the Office of the President style guide
- Support development of web content, event materials, proposals, and executive correspondence
- Manage registration, event management, and communications software
- Maintain and suggest improvements for processes and databases
- Perform post-event wrap-up including archiving materials and capturing data
- Establish and build relationships with stakeholders
- Assist Executive Director and senior staff with special projects
- Provide project support for team as directed
- Perform additional duties as assigned
