We are currently seeking a highly organized and proactive Event Coordinator to join our dynamic event planning team. This full-time onsite role is critical to the successful preparation, management, and execution of event transportation services. Responsibilities include managing client reservations, coordinating chauffeur dispatch, and overseeing event logistics from start to finish. The Event Coordinator will interact regularly with clients, vendors, chauffeurs, and internal teams to provide accurate information, troubleshoot issues, and guarantee timely service delivery. This role requires excellent verbal and written communication skills, strong multitasking abilities, and a detail-oriented mindset to maintain meticulous records and data.

In this role, the Event Coordinator will handle daily operational tasks such as responding to client inquiries via phone and email, offering pricing and availability information, managing group and wedding reservation systems, and performing manifest management and quality assurance for ongoing clients. They will also oversee logistical elements like monitoring chauffeur performance, tracking flight and check-in details, and ensuring adherence to service agreements and contractual obligations. The position demands flexibility including weekend availability to support events outside regular business hours.

The ideal candidate will demonstrate superior customer service skills, the ability to coordinate complex schedules, and a strong aptitude for problem-solving in a fast-paced environment. The Event Coordinator is expected to contribute recommendations to improve processes and client experience, assist in marketing and promotional efforts, and provide on-site or remote support during events as needed. Job Requirements

  • High school diploma
  • excellent written and verbal communication skills, including proofreading
  • strong customer service orientation with high standards for quality
  • previous call center or event planning experience preferred
  • proficiency in Microsoft Office (Word, Excel, PowerPoint), email, and web-based tools
  • highly organized with strong time management and multitasking abilities
  • ability to exercise sound judgment, discretion, and maintain confidentiality
  • detail-oriented with the ability to meet deadlines in a fast-paced environment
  • capable of working both independently and collaboratively
  • flexible schedule including availability outside standard business hours
  • strong problem-solving and decision-making skills
  • ability to manage multiple projects simultaneously
  • familiarity with event planning software and basic marketing strategies preferred
  • adaptable to seasonal workload fluctuations

Job Duties

  • Create, maintain, and organize files and program documentation
  • answer phones and respond to inquiries via phone and email in a timely, professional manner
  • monitor and manage group and wedding email inboxes
  • perform manifest management and accurate data entry
  • enter, update, and maintain group and wedding reservations
  • quote and book over-the-road transportation reservations
  • assist in the preparation and presentation of client proposals
