The role of Event Coordinator at Twelve Baskets is a full-time position that reports directly to the Director of Operations. This role is perfect for someone who is detail-oriented, highly organized, and capable of multitasking with a positive attitude. Working closely with the sales team, the Event Coordinator is responsible for managing client inquiries, building proposals, booking events, and aiding in event planning from inception to completion. The coordinator interface plays a critical role in ensuring smooth communication between clients, vendors, and internal teams, guaranteeing a high-quality and flawless execution of each event. The position demands adept use of catering software to manage multiple events simultaneously, maintain client relationships, and coordinate logistical details with several departments including the kitchen and logistics teams. Event Coordinators also participate in regular production meetings, support off-site event execution, and contribute to creating event documentation and rental diagrams. This role offers a competitive hourly wage of $23 to $28, potential commission-based bonuses, and opportunities for gratuity at events. The ideal candidate should have at least 2 years of catering experience, be proficient with Microsoft Office and Excel, and possess strong communication, time management, and organizational skills. Being bilingual is an added advantage, as is experience with Total Party Planner or similar catering planning applications. The schedule is primarily Monday through Friday, with holidays off and occasional weekend work as event needs arise. Job Duties
- Answer telephones, direct calls, take messages, and manage incoming emails
- Respond to all assigned leads assisting clients by building proposals, following up, answering questions, booking, and planning the overall event
- Create events for corporate, social, and wedding clients and possess a complete understanding of all critical information
- Manage all leads, deals, and booked events using catering software to organize and follow up with each client
- Follow up with each client post-event to ensure satisfaction and relay any necessary feedback to all departments
- Communicate effectively with the rest of the coordinator team and the Director of Catering
- Consistently meet or exceed standards that produce high-quality and complete event documents for production meetings, events, and open house events
