We are currently seeking an enthusiastic and organized Event Coordinator to join our sales department. This role is essential for supporting the behind-the-scenes administrative functions that keep our store operating efficiently. The Event Coordinator is a critical part of our team, providing vital support through administrative duties and confirmation calls to finalize event details. In addition to these responsibilities, the coordinator actively participates in the exciting sales process and contributes to booking valuable social market events.
The ideal candidate will embody a friendly, positive attitude with excellent communication and decision-making skills. The role requires clear and consistent communication with guests, the sales team, the management team, and operations staff. An Event Coordinator must demonstrate strong organizational abilities, verbal skills, and the capability to analyze basic data to assist with decision making. Fluency in reading and communicating in English is required to ensure smooth coordination across teams and with clients.
This position places a strong emphasis on customer service, analyzing guest needs, and ensuring all requests are accurately conveyed to operations and other team members to guarantee the successful execution of events. Responsibilities include following up on requests for proposals (RFPs), managing site tours, coordinating paperwork for events, supporting the sales department through follow-up communications after sales are closed, and handling billing and accounts receivable processes.
The Event Coordinator will also have opportunities to upsell services to event hosts after the sale is closed, contributing directly to the revenue generation and profitability of the business. As part of a proactive culture, the role embraces the principle of "Act like you own it," encouraging team members to identify and meet needs, share ideas, and assist colleagues whenever necessary.

Job Requirements
- High school diploma or equivalent
- Previous experience in event coordination or sales support preferred
- Proficiency in English reading and communication
- Strong organizational skills
- Ability to communicate effectively with guests, sales team, and management
- Basic data analysis skills
- Friendly and outgoing personality

Job Duties
- Go above and beyond to ensure the needs of each special events guest are met, communicating all requests from host to ensure all contracts are updated accordingly
- Take RFPs and calls for social events, converting them to closed won business
- Conduct site tours as needed
- Ensure accurate and prompt distribution of all paperwork for pop up parties working through management team to ensure they are staffed to support
- Provide administrative support to the sales department including follow up on calls, emails, tasks with event host after the sale is closed won, communicating to operations any changes to BEOs or updated signed contracts
- Follow up on ARs, collect payment information, and close out any remaining balances
- Submit check requests, invoices as needed
- Ensure operations has the most up-to-date BEO for each event
- Offer upsell opportunities to event hosts after sale is closed won
