Job Description

The role available is that of an Event Coordinator who works closely with clients and internal teams to orchestrate successful events from conception to completion. This full-time position is integral to the client experience, acting as a liaison and representative to manage the planning, implementation, and delivery of all assigned events at the company's premier venues. The Event Coordinator is responsible for various critical functions including scheduling staff, allocating equipment, maintaining comprehensive calendars and databases for long-term planning, and fostering strong professional relationships with clients and vendors alike.

This individual should be adept at managing multiple priorities while supporting both public ticketed events and private functions. Job Requirements

  • Bachelor's degree preferred
  • 1 to 2 years of experience in event management or related field
  • Proficiency in Microsoft Office and event management software
  • Strong verbal and written communication skills
  • Ability to work independently and manage multiple tasks
  • Flexibility to work nights, weekends, and holidays
  • Leadership and organizational skills

Job Qualifications

  • Bachelor's degree preferred
  • 1 to 2 years of experience in event management or related area
  • Excellent computer skills in Microsoft Office products, event management technologies, and customer relationship software
  • Experience in Venue Ops and Social Tables preferred
  • High level of verbal and written communication skills
  • Ability to problem solve and work independently in a changing and multi-tasking environment with numerous deadlines
  • Effective time management and leadership skills
  • Excellent organizational, planning and project management skills
  • Concert experience preferred

Job Duties

  • Serves as a liaison and client representative to provide planning, implementation, and delivery of all assigned events at Globe Life Field and Choctaw Stadium
  • Establish staff schedules, task assignments as well as equipment allocation to ensure conformance with departmental objectives and goals
  • Work closely with departments and client groups to define event goals, objectives and specific implementation plans
  • Maintain a calendar of events and database to anticipate long-term planning and effective event management
  • Develop professional relationships resulting in stable, consistent, reliable, and courteous communication
  • Create and follow through on events from initial client meetings, preparation of client estimates, and rental agreements through final billing
  • Oversee third-party vendors to ensure quality product and events for clients
  • Coordinate event schedules with contracted security/staffing companies, provide guidance and supervision during events, follow up after events to ensure proper billing
  • Communicate all event requirements to appropriate departments
  • Create and maintain event files and distribute event memos for all events
  • Build strong client relationships encouraging repeat business
  • Work with the Sales Department to generate new business and upselling opportunities
  • Conduct facility tours for prospective clients
  • Provide general event support for public ticketed events as needed
  • Work flexible/varied hours including nights, weekends, and holidays as scheduled
  • Perform other responsibilities as assigned
