The successful candidate will be responsible for managing various aspects of event planning and execution, including overseeing food and beverage services, coordinating with culinary and other departments, facilitating billing, and maintaining accurate event documentation through sophisticated catering software. The Event Coordinator Assistant will play an integral part in ensuring that all private and club functions run smoothly, with a focus on upholding quality standards, exceptional customer service, and budget adherence. This role includes tasks such as taking reservations, confirming guest counts prior to events, preparing banquet event orders and floor diagrams, and assisting with the creation of event materials including menus, place cards, and signage. Additionally, the position requires a proactive approach in selling the club’s facilities to potential clients through tours and professional consultation.

- Associate's degree or extensive experience in food and beverage
- Proficient in Microsoft Word, Excel, Outlook, and InDesign

Job Duties
- Assist the Events Director in arranging and planning banquets, luncheons, meetings, weddings, and social events in coordination with culinary staff
- Obtain and produce information necessary for guest planning
- Provide tours and suggest club facilities to potential clients
- Perform general office tasks including word processing, preparing presentations, spreadsheets, and analysis
- Respond to inquiries and take reservations for member functions
- Confirm reservation counts prior to events and communicate with departments
- Facilitate billing for private and club functions
- Distribute weekly banquet event orders, floor diagrams, supplements, and event calendars to departments
- Maintain event files using catering software
- Create printed event materials such as menus, place cards, and seating signage
- Schedule appointments, answer phone calls, and act as receptionist as needed
- Assist in arranging decorations, entertainment, and rental needs for events
