Job Description

The Porsche Club of America (PCA) is an esteemed organization dedicated to Porsche owners, supporting a robust community of 170,000 members across 149 regions in the United States. Founded to connect enthusiasts of Porsche automobiles, PCA offers a wide variety of programs including driving and racing events, educational opportunities, and a monthly publication that keeps members engaged and informed. The National Office is the hub of this expansive organization, where staff work diligently to provide excellent member services, event planning, and operational support to uphold PCA's reputation as the premier Porsche club in the nation.

The National Office, located in Columbia, Maryland, is seeking to add an Event Coordinator to support its National Events team. This is an in-person role that offers an annual salary of $72,000 and requires occasional travel including weekends, emphasizing the dynamic and varied nature of the position.

As an Event Coordinator with PCA, you will be responsible for supporting the planning and execution of a wide range of events such as national meetings, conferences, and special member gatherings. These events vary in size from a few hundred to several thousand attendees, requiring meticulous organizational skills and the ability to manage multiple priorities simultaneously. Your role will encompass registration duties, as well as broader event-related tasks including administrative support, logistical coordination, marketing, and communications. This position demands someone who thrives in a fast-paced environment, with a keen eye for detail and a commitment to providing exceptional customer service.

Your responsibilities will range from managing online registration systems for members, sponsors, and staff to coordinating event collateral like welcome cards and name badges. Communication plays a vital role, as you will be expected to maintain sponsor and exhibitor relations, update internal dashboards with accurate event information, and create content for event materials. You will also provide training and ongoing support to staff handling member services registration, ensuring a seamless registration experience for all attendees.

The Event Coordinator will contribute to the success of PCA's signature events by supporting volunteer engagement, managing budget documentation, coordinating with Finance on payments and refunds, and assisting with special projects as assigned by the Executive Director. Job Requirements

  • bachelor’s degree in event planning, communications, marketing or related field
  • 5+ years of professional meeting registration experience
  • experience managing registration for large-scale events
  • strong organizational and time management skills
  • excellent written and verbal communication
  • proficiency in Microsoft Office Suite and Canva
  • valid driver’s license and good driving record
  • ability to work independently and collaboratively
  • up-to-date knowledge of trends in the meetings industry

Job Qualifications

  • experience managing registration for large-scale events with 200–4,000 attendees

  • up-to-date knowledge of trends in the meetings industry

Job Duties

  • support planning and execution of national meetings, conferences, and special events
  • coordinate event collateral such as welcome cards, programs, and name badges
  • maintain sponsor and exhibitor deliverables and communications
  • organize and support volunteer engagement and logistics
  • update internal dashboards with event details and registration links
  • data entry for event details and member information
  • provide exceptional customer service via phone and email, resolving inquiries and issues promptly
  • assist with content creation for event materials
  • support cross-functional teams and contribute to special projects as assigned
  • manage online registration systems and processes for members, sponsors and staff
  • create, test, and automate attendee communications such as confirmations, reminders, and surveys
  • prepare and distribute attendee lists and registration data reports
  • submit travel and purchase receipts with accurate budget categorization and documentation
  • coordinate with Finance on payments, refunds, and reconciliation
  • prepare registration training materials and FAQs for Member Services staff
  • provide ongoing support and guidance including walkthroughs for new systems or one-on-one assistance for new team members
  • perform other duties as assigned by the Executive Director
