The role of Event Coordination Specialist at Wolters Kluwer is an exciting opportunity for individuals passionate about event planning and management. This full-time position involves working closely with senior Event and Attendee Managers to deliver high-quality internal and external events that enhance the company’s brand and strengthen client relationships. The successful candidate will apply their knowledge of event planning theories and best practices to coordinate all event logistics, manage vendors, and ensure smooth, seamless experiences for all attendees. This position requires approximately 50 percent travel time to on-site event locations, making it ideal for candidates who enjoy a dynamic and fast-paced work environment.
In this role, the Event Coordination Specialist will take the lead on smaller Tier 3 events and actively support major company-hosted and client-facing events including trade shows. Responsibilities include managing the entire event lifecycle from venue and vendor research to post-event feedback collection and reporting. Attention to detail is critical, especially in handling vendor contracts, registration processes, attendee communications, and budget tracking. The specialist will also collaborate closely with diverse teams, facilitating clear communication among internal stakeholders, vendors, and partners to ensure event success. This role requires exceptional organizational skills, the ability to multitask under tight deadlines, and a proactive mindset to adapt to ever-changing priorities.

Job Requirements
- Minimum of 5 years of experience in event planning or coordination
- Proficiency in event management software such as Cvent
- Strong organizational and multitasking abilities
- Excellent communication skills both written and verbal
- Ability to manage vendor contracts and administrative tasks
- Attention to detail in financial and registration documentation
- Willingness to travel about 50 percent of the time

- Basic budget tracking skills
- CMP certification considered an advantage
Job Qualifications
- Minimum of 5 years of event planning or coordination experience
- Proficient in event management and registration tools particularly Cvent
- Understanding of event operational workflows including vendor coordination and logistics
- Ability to manage multiple priorities and deadlines concurrently
- Experience with vendor management and contracting
- Strong attention to detail especially with registration and financial documentation
- Excellent written and verbal communication skills
- Basic knowledge of budget tracking and reconciliation

- Willingness to travel approximately 50 percent of the time for event support
Job Duties
- Assist senior Event Managers in planning and executing events including trade shows
- Lead planning for smaller Tier 3 events managing logistics from start to finish
- Research and recommend venues and vendors prepare summaries for team discussion
- Handle administrative tasks such as vendor onboarding contract processing and payment tracking
- Support registration setup attendee communications and manage on-site registration
- Review attendee data and hotel arrangements for accuracy
- Coordinate event logistics including transportation setup and operations
- Provide flexible support across all phases of event coordination
- Help monitor and report on budget tracking and expenses
- Collect post-event feedback and assist with evaluations and reports
- Facilitate effective communication among teams vendors and partners
