Job Description

The Athletics Department is committed to providing exceptional recreational and athletic experiences to the community by hosting a variety of organized events, tournaments, practices, and community gatherings. With a focus on maintaining safe, welcoming, and well-organized sports environments, the department ensures that park facilities and athletic fields are preserved for ongoing use. The team works closely with vendors, event organizers, security personnel, and maintenance crews to coordinate the many logistical elements necessary for successful events. The role of Event Assistant is integral to the Athletics Department's mission. This position functions as the on-site supervisor during athletic events and outdoor community activities, taking responsibility for preparing event spaces, overseeing event logistics, enforcing safety and facility policies, and serving as a primary liaison among event participants, vendors, guests, and internal team members. The Event Assistant plays a crucial role in coordinating field setups, monitoring turf conditions, maintaining orderly environments, and responding promptly to any incidents or emergent situations. Through effective communication, organizational skills, and attention to detail, the Event Assistant ensures events proceed smoothly according to schedule while upholding the sustainability and operational goals of the park.

This position is seasonal and part-time, allowing for up to 29.9 hours per week, with work schedules including evenings, weekends, and holidays as required by event timetables. The Event Assistant will be frequently exposed to both indoor and outdoor working conditions, facing elements such as extreme weather and physical demands including lifting, bending, and maintaining alertness over extended periods. Active participation in safety and emergency protocols is essential, along with an ongoing commitment to reducing environmental footprints through sustainability efforts within park operations.

Job Requirements

  • High school diploma or GED
  • active and valid driver’s license
  • ability to work in various weather conditions, including extreme weather
  • 1-2 years of experience in event operations, athletics, or facility supervision
  • strong organizational and multitasking skills
  • excellent communication and interpersonal abilities
  • ability to work evenings, weekends, and holidays as required by event schedules
  • knowledge of athletic field operations and maintenance a plus

Job Qualifications

  • experience managing sports leagues or tournaments preferred
  • familiarity with park or recreation facility operations preferred
  • CPR/First Aid certification or willingness to obtain preferred

Job Duties

  • Serve as the primary on-site supervisor for athletic events, tournaments, practices, and outdoor community gatherings
  • coordinate event logistics including field setup, equipment placement, signage, and breakdown
  • ensure all spaces are prepared according to event specifications and scheduling requirements
  • work with event organizers, vendors, and internal departments to ensure smooth execution
  • monitor the condition and readiness of athletic fields and surrounding spaces before, during, and after events
  • enforce facility rules, safety standards, and permit requirements
  • report maintenance needs and coordinate with grounds and operations teams
  • ensure proper use of fields to preserve turf quality and infrastructure
  • coordinate with security, custodial, and maintenance teams as needed
  • act as a point of contact for event participants and park guests
  • resolve issues or conflicts in a professional and timely manner
  • maintain a welcoming and organized environment for all visitors
  • ensure compliance with safety regulations, emergency procedures, and park policies
  • respond to incidents and coordinate with emergency services if necessary
  • complete incident reports and documentation as required
