The Event Assistant position at Davis Graham & Stubbs LLP serves a pivotal role within the Business Development & Marketing Department. This full-time role, based in the firm's Denver office, centers around supporting the coordination and execution of various activities that facilitate the business development, marketing, client service initiatives, and internal event functions for the attorneys and the firm at large. The position is uniquely multifaceted, blending responsibilities that involve event support with those that include providing reception services, making it a dual-function role that demands excellent organizational and interpersonal skills.

The Event Assistant acts as the firm's frontline representative, greeting clients and visitors warmly, managing incoming phone calls efficiently, and ensuring a smooth coordination of meeting spaces and event logistics. A key part of the role involves collaborating closely with the hospitality team to guarantee that all meeting spaces, conference rooms, and onsite events meet the firm’s standards and create a positive experience for both clients and internal stakeholders. This includes reviewing and confirming conference room bookings, coordinating food and beverage needs, and managing detailed logistics such as catering arrangements, dietary requirements, room setups, audiovisual needs, and last-minute requests.

Beyond these logistical responsibilities, the Event Assistant also plays a supportive role in broader firm events and special projects, helping to organize and staff registration tables at business development events, distribute invitations and reminders, manage client and attendee information in the firm’s CRM system, and assist with holiday parties, summer programs, and other staff appreciation initiatives. The position demands a high degree of flexibility, sometimes involving work outside regular business hours to ensure the success of various events. This role requires strong communication skills, attention to detail, the ability to prioritize and manage multiple tasks effectively, and a professional demeanor at all times.

Job Requirements

Job Qualifications

  • High school diploma or equivalent
  • Prior experience in hospitality or food and beverage field preferred
  • One year of reception or law firm experience preferred

Job Duties

  • Serve as the first point of contact at the reception desk greeting visitors and managing incoming calls
  • Review and coordinate all necessary details and requests for conference room bookings and events including catering beverage requests room setup design and needs and AV requirements with appropriate departments and hospitality teams
  • Coordinate with the hospitality team on last-minute bookings to ensure seamless service for internal and client meetings
  • Plan coordinate and implement all catering for meetings lunches and internal special projects including accounting for dietary restrictions and food allergies as noted by the organizer
  • Maintain cleanliness and organization of reception area
  • Report and follow up on facilities issues through the established work request system
  • Follow established procedures for scheduling and catering
  • Maintain a professional dress and demeanor and ensure punctual attendance
  • Assist with distribution of invitations event directions reminders and announcements internally and externally as required
  • Assist with contact client and attendee information management in the firm CRM
  • Provide support for other administrative departments with events such as practice group holiday parties summer programs poker party staff appreciation week firm holiday party and summer picnic
  • Organize and staff registration table at business development events and welcome guests in a professional manner
  • Coordinate and provide dining reservations for client events as needed
  • Support event functions such as name tag creation maintain RSVP information within the firm CRM platform
  • Attend site visits for events as assigned
  • Attend onsite and offsite events before and after hours as assigned
  • Perform other duties as assigned
