Job Description

The Department of Events and Visitor Services at Jackson State University is a vital unit dedicated to facilitating a seamless and memorable experience for all university-related events. Jackson State University, a historically black university committed to academic excellence and community engagement, supports a wide range of campus activities and functions. This department plays a crucial role in planning, coordinating, and executing university-wide events, ensuring that each gathering meets the highest standards of quality and professionalism. The team works collaboratively to maximize the use of campus facilities while upholding institutional policies and promoting a welcoming environment for students, staff, and visitors.

The Event Assistant role within this dynamic department is essential for the smooth operation of various events across the Jackson State University campus and its satellite locations. This position offers an opportunity to engage deeply with the logistical and technical aspects of event management, providing comprehensive support to senior event staff including the Director, Assistant Director, and Operations Coordinator. The Event Assistant will be involved throughout the event lifecycle—from the initial planning stages to the final execution and post-event reporting. The role demands a blend of creativity, technical acumen, and organizational skills, as well as a strong commitment to customer service and adherence to university guidelines.

Responsibilities include assisting with event setup and breakdown, implementing decor, and managing on-site logistics to ensure each event runs efficiently and successfully. The Event Assistant will also provide vital technical support, catering to both main campus events and those held at satellite campuses. This technical support encompasses the operation and maintenance of audio-visual equipment and other event technologies. Furthermore, the role involves overseeing inventory records to maintain accurate tracking of departmental equipment and assets.

Another key duty is managing the department's digital presence, including maintaining the website and social media platforms. The Event Assistant will be responsible for posting approved photography, video content, and timely event updates, thereby enhancing communication and engagement with the university community. In addition, the Event Assistant will assist in monitoring event service data and preparing detailed reports on departmental activities, helping to inform future planning and decision-making.

This position requires someone who thrives in a fast-paced environment, manages multiple tasks effectively, and communicates clearly and professionally with diverse stakeholders. The Event Assistant at Jackson State University is not only a facilitator of events but also a contributor to the university's vibrant campus life and reputation as a premier educational institution. This role is ideal for candidates looking to develop a career in event management within an academic setting, offering valuable experience and professional growth opportunities in a supportive and inclusive environment.
