The role of Event & Sales Coordinator at Leal Hospitality Group is pivotal in creating and executing memorable events that meet high standards of excellence. The coordinator will work closely with various internal teams—including Sales, Events, Luxe Design, and Facilities—to ensure every detail of an event is flawlessly coordinated. From weddings and corporate events to social gatherings and fundraisers, the coordinator plays a critical role in delivering seamless and positive experiences for clients and guests alike.

This position requires flexibility in availability, as hours can range from part-time to full-time, with work schedules frequently including nights, weekends, and holidays to align with event demands and business needs. The coordinator will be responsible for the entire lifecycle of event sales and execution, including contracting events, prospecting and soliciting new business, conducting property tours, managing client communications, executing marketing and promotional activities, and overseeing event setups and breakdowns. Strong organizational skills, attention to detail, and the ability to work under pressure while maintaining a professional and polished demeanor are essential for success in this role.

Job Requirements

  • Bachelor's degree or equivalent experience
  • Flexible availability including weekdays, weekends, mornings, evenings, holidays, split shifts, and extended hours
  • Valid California Food Handler Certificate
  • Current ABC-approved California Responsible Beverage Serving Certification
  • Current California Driver's License with satisfactory driving record
  • Able to travel frequently to multiple portfolio locations and operate company vehicles safely
  • Strong customer service orientation
  • Excellent communication and interpersonal skills
  • Advanced computer proficiency

Job Qualifications

  • Bachelor's degree or in progress preferred in hospitality, marketing, communications, event or meeting planning or equivalent experience in hospitality industry

Job Duties

  • Effectively contract events including weddings, rehearsal dinners, social events, school events, corporate events, holiday parties, fundraisers, bridal showers, baby showers, and birthdays
  • Actively solicit business through prospecting, cold calling, and sales calls
  • Conduct property tours for prospective clients and generate contracts and invoices
  • Maintain effective, organized, and timely follow-up on leads, proposals, and contracts
  • Develop and implement sales strategies, plans, and projects for increasing revenue
  • Maintain complete and accurate records of potential and secured accounts, bookings, client requests, and specifications in the sales and catering management system
  • Oversee the planning and coordination of details of booked business and create/distribute client BEOs
  • Attend local and regional wedding and event shows to generate potential sales
  • Work closely with all relevant departments in the planning process of each event and provide detailed information on the pre-contracting phase, estimates, ceremony, reception, and vendors
  • Expand and develop sales platforms
  • Create, design, and develop engaging graphic designs for print and electronic collateral, menus, website, and social media aligned with the brand
  • Take photos and videos for marketing content as needed
  • Assist with development and implementation of marketing plans and projects
  • Assist with updating and maintaining social media pages
  • Maintain and improve brand identity, brand images, print collateral, and communication assets
  • Monitor, review, and report on marketing activity, sales efforts, and results to management
  • Maintain high standards for safety and cleanliness across the property
  • Communicate guest concerns to Director of Hospitality
  • Complete all assigned projects on time with clear communication
  • Oversee the communication of client needs to appropriate departments
  • Oversee production details for events including timelines, layouts, and BEOs
  • Manage events from initial sale through completion
  • Ensure coordination and banquet teams are prepared for successful events
  • Coordinate with outside vendors on event day
  • Work with clients to ensure all requests and needs are met
  • Coordinate tastings, final walkthroughs, and rehearsals
  • Oversee banquet staff and setup
  • Assist with event setup and teardown
  • Coordinate event rehearsals
  • Ensure proper dining experience delivery
  • Perform all duties as assigned by management
