The Event & Catering Sales Coordinator role at Black Family Hospitality is a vital position within the company’s catering and event operations team. This full-time role requires a motivated, detail-oriented individual who is passionate about hospitality and capable of managing multiple tasks in a dynamic, fast-paced environment. The coordinator will play a pivotal role in supporting and advancing the catering business by managing client communications, coordinating event logistics, and contributing to key sales initiatives. Responsible for handling communications via phone, email, and online platforms, the Event & Catering Sales Coordinator builds strong relationships with corporate clients, event planners, venues, hotels, and repeat customers. The coordinator guides guests through the entire booking process, from initial inquiry to execution, ensuring all event details are managed efficiently and accurately. Identifying opportunities for upselling and revenue growth is a critical part of this role, including offerings like staffing, rentals, bar packages, and menu enhancements.

Coordination of event logistics is another major component of this position, involving preparation of proposals, contracts, banquet event orders (BEOs), and invoices. The coordinator manages event timelines, staffing, rentals, delivery logistics, and guest counts, ensuring seamless execution across multiple locations and hospitality concepts. Communication with operations teams, culinary staff, and management is essential to ensure that orders are organized and executed according to plan. The role may also require on-site support during large-scale events to guarantee a smooth guest experience.

From an administrative perspective, the coordinator maintains detailed client records and documentation, processes deposits and payments, assists with menu updates and promotional initiatives, and supports reporting and sales tracking functions. Job Requirements

  • High school diploma or equivalent
  • Minimum of 2 years’ experience in event coordination, catering sales, or related hospitality role
  • Strong written and verbal communication skills
  • Ability to work in a fast-paced, dynamic environment
  • Proficiency with common software tools including email, scheduling, and office applications
  • Flexibility to assist with on-site events as needed
  • Valid food handler’s certification or willingness to obtain
  • Reliable transportation for travel between locations if required

  • Communicate event details clearly with operations, culinary, beverage, and management teams
  • Ensure catering orders and events are organized and executed accurately
  • Assist with on-site event coordination and large-scale events when needed
  • Maintain accurate client records and event documentation
  • Process deposits, payments, and final billing
  • Assist with menu updates, catering packages, and promotional initiatives
  • Support reporting, sales tracking, and event recap documentation
  • Respond to frequently asked questions regarding menus, pricing, delivery, staffing, and event policies
  • Ensure all communication reflects Black Family Hospitality’s brand standards and hospitality culture
