The company is currently seeking a Seasonal Event Administrative Assistant to support the Dark Harbor event in Long Beach, California. This role is seasonal and temporary, spanning from August through November, with the operational season running from late September to early November 2026. Compensation for this position ranges from $25 to $28 per hour, commensurate with experience. The work schedule includes evenings, weekends, and holidays during the event season, emphasizing the need for flexibility and dedication to supporting the event's success.
As a Seasonal Event Administrative Assistant, you will serve as the organizational backbone for the Dark Harbor leadership team. You will manage essential administrative tasks that keep the operations running smoothly, ensuring that leadership stays focused and vendors remain coordinated. This role demands exceptional organizational and communication skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced, high-energy environment. Your responsibilities will span managing incoming emails, calendar scheduling, drafting and proofing correspondence, and maintaining both digital and physical filing systems for event documentation, contracts, and records.
You will play a crucial role in vendor and financial coordination, facilitating clear communication with staff and vendors to coordinate deliveries, confirm timelines, and monitor outstanding invoices and payments. Your work will involve tracking and reconciling event-related expenses, alerting leadership to any discrepancies, and ensuring timely submissions to the corporate accounting team. Serving as the on-site liaison between Dark Harbor operations and corporate finance, you will be pivotal in maintaining alignment and effective communication between these groups.
Operational support is another key facet of this position. You will provide responsive support to Dark Harbor leadership throughout all phases of the event season, including pre-opening, run of show, and strike. Additionally, you will assist with select evening events such as media nights and special show nights, offering on-site administrative and logistics support. Anticipating leadership needs and proactively resolving challenges before they arise will be integral to your success.
This position requires a professional with at least two years of administrative or office support experience, preferably in the event, entertainment, or hospitality industries. Strong written and verbal communication skills combined with a polished, professional presence are essential. You must possess exceptional organizational skills and a keen eye for detail, alongside proficiency in Google Workspace. Familiarity with accounting or expense tracking platforms is a plus.
