The Employee Services Associate (Safety & Guest Relations) role is a vital part-time position within the Employee Services department under the Human Resources job family. This non-exempt position at the corporate office requires the individual to deliver a professional and positive experience for employees, guests, and conference attendees with a focus on safety and effective guest relations. The associate is expected to exemplify the company’s branding and maintain professional standards that support the organization’s culture and operational priorities. The role entails a broad set of responsibilities including compliance monitoring, security activities, administrative support for corporate events, equipment and software system support, and guest/vendor/employee interaction. The associate will play an influential role in administering corporate visitor protocols, monitoring security cameras, documenting incidents, and alerting management about concerning behavior to ensure a safe workplace.
Additionally, the associate supports diverse employee services such as food and beverage service coordination in line with corporate policies, public announcement handling, training facilitation, and operational support for physical equipment and vehicles such as corporate transit and lifts. The position demands well-developed interpersonal skills, discretion in handling confidential information, and the capability to work independently with minimal supervision. Applicants should be willing to work a modified schedule that includes early mornings, evenings, and weekends as needed. Physical requirements include the ability to stand for long periods and lift up to 40 pounds. This role requires a comprehensive understanding of health and safety regulations, HACCP, and Board of Health standards, ensuring the workplace meets all compliance requirements. Furthermore, the associate is expected to cooperate with Buildings and Grounds teams for emergency response and safety protocols.
This position welcomes candidates with at least a high school diploma or equivalent, possessing up to one year of experience in corporate, food service, or hospitality settings and preferably with some administrative or front desk management background. An associate degree in hospitality or a related field and skills in conflict management and de-escalation techniques are desirable. A valid driver’s license is necessary as some duties involve driving company vehicles for supply errands. The role is critical in maintaining the safety, order, and professional image of the company, contributing significantly to the seamless operation of employee services and corporate events. Job Qualifications

Job Duties
- Maintain high compliance and documentation across multiple areas to ensure adherence to corporate policies/practices, HAACP and BOH standards
- communicate information to manager or team leads promptly to allow for a response as needed
- Assist in administrating corporate visitor protocols and security activities including the monitoring of cameras, incident documentation, identifying and alerting on concerning behavior both internally and throughout the property
- Provide administrative support to various departments in facilitating the communication and execution of corporate events, services, and initiatives as assigned, such as corporate-hosted community events, employee events, meal/beverage service in conjunction with the employee services team
- Support Employee Services equipment and software systems including point-of-sale system(s), digital signage, visitor management system(s), safety systems, physical equipment, and vehicles
- Respond to or direct appropriate guest, vendor, customer, and employee inquiries/questions as required
- Provide secondary support for other on-premises employee service department functions
- Complete other projects as assigned
- Provide front desk coverage to ensure the company's branding and professional standards are exhibited by greeting and obtaining necessary sign-in information for non-badged employees and visitors requesting entrance to the buildings
- Assist in administering corporate visitor protocols and security activities including visitor management system, intercoms, badge identification and access, camera monitoring
- Provide incident documentation, identifying and alerting concerning behavior both internally and throughout the property
- Maintain an awareness of the Watch List of those individuals who may pose a threat or danger to the company and execute the proper security protocols when required
- Assist with company-wide public announcements (intercoms, digital signage, and emergency notifications)
- Provide administrative support in facilitating meal deliveries by following corporate policies, HACCP standards, and Board of Health standards
- Assist HR and department hosts in planning and preparation for company events including communication on reservations, guest management, catering, and access to spaces
- Perform regular audits and reviews of equipment for functionality, repair, and safety, reporting concerns
- Coordinate with Tech Support or Buildings and Grounds on equipment functions necessary for employee services
- Assist in documenting training, facilitation, and execution with HR and other departments
- Train and/or be licensed in operating equipment such as lifts and corporate transit vehicles
- Provide backup support for HR or Employee Services functions as requested
- Perform other duties as assigned
