Wilkinsburg School District is a small, urban public school district situated in Wilkinsburg, Pennsylvania, serving approximately 500 students. The district operates two elementary schools providing education from Pre-Kindergarten to Sixth Grade. The Elementary Secretary position is a 12-month, full-time role that plays a pivotal part in the daily operation of the elementary school environment. As a critical member of the school’s administrative team, the Elementary Secretary supports the Principal, staff, students, and families by managing various administrative tasks in a busy school setting. This individual serves as the primary point of contact for families and visitors, often shaping first impressions of the school. Therefore, professionalism, a warm and welcoming demeanor, and a positive attitude are fundamental qualities for success in this role. Candidates must possess strong organizational skills and excellent communication abilities to effectively coordinate numerous administrative duties. Additionally, the role requires proficiency in technology to handle communications, maintain accurate student records, and manage scheduling systems.

The Elementary Secretary helps ensure the smooth functioning of daily office operations, responding to inquiries via phone, email, and in person, managing mail and school communications, and maintaining student information and records with precision. The secretary is also responsible for supporting the Principal with correspondence, reports, and discipline documentation. This role involves managing substitute teacher schedules, assisting with supply ordering and inventory, coordinating school events, and facilitating logistics such as field trip transportation. An essential part of the position is maintaining confidentiality, adapting to changing priorities, and fostering effective communication across all school stakeholders.

Additionally, this position is governed under the Wilkinsburg Educational Support Personnel Association and reports directly to the Building Principal. The role requires working in person at the school location, providing an opportunity for daily direct engagement with the school community. Overall, this is a vital administrative position contributing to the success and organization of the elementary school and ensuring the school’s mission and values are upheld in every task and interaction.

Job Requirements

Job Qualifications

  • an Associate’s degree is preferred a high school diploma or equivalent is required
  • capacity to work effectively within a diverse population of people
  • minimum of three years of administrative/secretarial experience preferred
  • demonstrated knowledge in and experience with managing data systems with a high level of attention to detail

Job Duties

  • manage daily front office operations including opening/closing the office
  • serve as the primary point of contact for students families staff and visitors
  • handle phone email intercom and in-person inquiries professionally and promptly
  • receive sort and distribute mail and communications
  • maintain accurate student records files and attendance data
  • manage timely student enrollment transfers and withdrawals
  • coordinate and update the student information system
  • prepare schedules reports and required documentation
  • support the Principal with reports correspondence and discipline documentation
  • prepare letters forms and school-wide communications
  • coordinate substitute timesheets and attendance reporting
  • assist with beginning and end-of-year reporting requirements
  • manage the ordering and inventory of supplies and materials
  • schedule meetings visitors and external service providers
  • coordinate field trip transportation and special requests
  • support Chromebook tracking and distribution
  • assist with student supervision as needed
  • maintain bulletin boards and office displays
  • support school events and activities
  • maintain confidentiality at all times
  • communicate effectively with all stakeholders
  • adapt to changing priorities and perform additional duties as assigned
  • support the District’s mission and values
  • perform other duties as assigned by the Principal and/or Superintendent
