This role is for an Education & Event Coordinator position within a global beauty company that specializes in cosmetics, skincare, haircare, and fragrance products. As the Education & Event Coordinator, you will play a critical role within the Client Experience & Retail Excellence team by driving operational efficiency and ensuring flawless execution of strategic initiatives. You will act as the operational backbone of the brand’s programs, overseeing the entire lifecycle from concept development to final delivery. Your responsibilities will include managing complex logistics for nationwide product ordering, handling strategic pack-out logistics for seasonal programs and holiday gifting, orchestrating event plans including scheduling and procurement, and maintaining master schedules to meet all project milestones and deadlines.

You will also be the central point of communication, cascading updates to internal and field teams, managing stakeholder relationships across global and cross-functional partners, and supporting creative efforts by drafting detailed briefs for event invitations and production materials. Additionally, you will contribute to financial administration by tracking expenditures, managing vendor contracts, opening purchase orders, and ensuring budget integrity through chargeback management.

Job Duties

  • Direct the full lifecycle of product ordering for all brands, encompassing order placement, fulfillment tracking, and nationwide distribution
  • Lead the end-to-end management of seasonal nationwide gratis programs and holiday gifting, including strategic pack-out logistics
  • Orchestrate logistics for brand events and retailer shows
  • manage comprehensive timelines, product procurement, and guest/RSVP coordination
  • Maintain a master schedule for all active projects, ensuring all milestones are met with precision and deadlines are strictly upheld
  • Act as a central hub for information, cascading key updates to internal and field teams while managing high-volume inquiries
  • Build and sustain productive relationships with global and cross-functional business partners
  • Draft detailed briefs for event invitations and production materials to ensure brand alignment
  • Support budget integrity by tracking expenditures, negotiating vendor contracts, opening purchase orders, and managing chargebacks
