The Dual Hotel Sales Coordinator position supports the sales teams at both Homewood Suites and Hilton Garden Inn Fort Wayne, two prominent hotels managed by PAH Management. This role is essential for the seamless coordination and administration of sales activities across these dual properties. The Sales Coordinator serves as the operational bridge between sales and various hotel departments, ensuring a smooth, high-quality guest experience from initial booking to event completion. Employed full-time, the role involves duties such as managing group room blocks, handling client communications, supporting event logistics, and maintaining accurate sales documentation. Salary is commensurate with experience and aligned with industry standards for similar roles.
In this position, you will coordinate group room block entries using the Delphi FDC/PMS system, manage the transition of group bookings once confirmed, and ensure all billing and pickup information is accurate and compliant with brand standards. You will also generate proposals, contracts, and banquet event orders while collaborating directly with clients and internal teams like catering, kitchen, and housekeeping to facilitate exceptional event execution. The role requires excellent organizational, communication, and multitasking skills to juggle competing priorities effectively while maintaining a calm and professional demeanor.
Further responsibilities include maintaining organized records of group history and future bookings, assisting with market growth by nurturing relationships with corporate and travel industry accounts, supporting participation in industry events like wedding vendor shows, and completing special projects assigned by management. This role thrives in a dynamic environment where flexibility, attention to detail, and strong teamwork are necessary to meet evolving guest and operational demands.
The ideal candidate will possess at least one year of relevant experience in hotel sales or hospitality administration and demonstrate proficiency with property management systems, preferably Delphi FDC. Strong attention to detail, clear communication skills, and the ability to work collaboratively with multiple departments are crucial. Experience with dual-property or multi-property hotel operations and familiarity with Marriott brand standards are advantageous. Physical requirements include the ability to be on your feet for extended periods, occasional lifting of up to 20 pounds, and a professional appearance in line with company standards. Availability for occasional evening or weekend work is expected to support event needs.

Job Requirements
- One or more years of experience in hotel sales, hospitality administration, or closely related role
- Proficiency with hotel property management systems
- Strong organizational skills

Job Qualifications

Job Duties
- Coordinate group room blocks in the Delphi FDC/PMS system, including entry of rooming lists prior to reservation cut-off dates
- Manage group booking transitions once a group goes definite, ensuring accurate transfer of all details from the sales team
- Enter group pickup and billing information accurately into Delphi
- coordinate with the Guest Service Manager to ensure special billing arrangements are entered correctly
- Collect and process all methods of payment in compliance with property and brand standards
- Create event proposals and contracts using Delphi FDC
- work closely with clients to obtain and update event details
- Prepare Banquet Event Orders for kitchen staff and host weekly BEO meetings with department heads
- Greet clients prior to events to confirm arrangements and expectations
- Follow up with clients post-event to gather feedback and cultivate repeat business
- Respond promptly and professionally to client inquiries and special requests
- Communicate group needs and event details to guest services, housekeeping, and food and beverage teams
- Prepare group turnovers for department heads to support seamless execution
- Work closely with kitchen and banquet staff to ensure event requirements are communicated and delivered
- Notify relevant departments of customer specifications in a timely manner and escalate issues as needed
- Maintain accurate, organized records to support group history and future bookings
- Develop and maintain relationships with key corporate, business, and travel accounts
- Coordinate property participation in seasonal wedding vendor shows and industry events
- Assist with general sales office administrative duties including correspondence, filing, and report preparation
- Complete special projects as assigned
