We are currently looking to fill a full-time position that combines front office reception duties with security dispatch responsibilities and operational support. This role requires an individual who is organized, attentive to detail, and able to multitask across a variety of important functions that support both the administrative and security operations of our office.
The role is a full-time position with scheduled working hours on Sunday from 7:00 am to 3:30 pm, and Monday through Thursday from 3:00 pm to 11:30 pm. This schedule provides a structured workweek while offering coverage during key office hours to ensure seamless operational support. Employees in this position will serve as the first point of contact when visitors arrive and will handle all related reception duties, including greeting guests, answering phone calls, managing correspondence and scheduling appointments. Additionally, the role involves security dispatcher responsibilities which are critical to maintaining a safe environment within the premises. This includes monitoring communication systems, dispatching aid as necessary, and managing security incident reports.
Besides the reception and security duties, the role supports operational security by controlling access to the premises and handling the issuance and receipt of patrol driver equipment. The person in this role also supports administrative functions such as scheduling meetings and logistics coordination, preparing reports, managing calendars, and assisting with other departmental needs as required. This multi-faceted role calls for an individual who is resourceful, communicative, and able to perform well under pressure while delivering exceptional service to all clients, visitors, and employees.
Candidates for this position should have at least two years of experience in administrative office support, demonstrating proficiency in clerical tasks, customer service, and security-related functions. A high school diploma or equivalent is required to qualify for this role. Applicants must be drug and alcohol-free and willing to submit to periodic drug testing to comply with company safety standards and security protocols. Job Requirements
- High school diploma, GED, or equivalent
- Minimum two years of administrative office support experience
- Must be alcohol and drug free
- Willing to submit to periodic drug testing

Job Duties
- Greeting visitors and directing them to the appropriate person or office
- Answering and making phone calls on behalf of office employees
- Handling office correspondence and queries via phone, email, and general correspondence
- Keeping updated records of office expenses and costs including tracking of front office expenses such as supplies, equipment, and utilities
- Performing various clerical tasks such as faxing, transcribing, filing, copying
- Sorting and distributing mail, incoming packages, and deliveries
- Assisting with scheduling appointments for clients, customers, or employees and maintaining appointment calendars including sending reminders
- Delivering exceptional customer service assistance and providing an overall welcoming environment
- Answering phones and monitoring security systems to identify potential threats
- Dispatching aid as necessary and coordinating security responses
- Gathering and relaying information about incidents to appropriate personnel
- Filing reports on all security incidents
- Performing communications, computer aided dispatching, and help desk tasks
- Controlling office access and maintaining office security by following safety procedures
- Maintaining, issuing, and receiving patrol driver equipment
- Scheduling and coordinating logistics for meetings and events
- Organizing and managing calendars and schedules
- Preparing documents and reports, compiling records, filing, photocopying, faxing
- Assisting in the preparation of client project reports
- Tracking actions, headcount, spending, and other data
