The Director of Operations & Event Services plays a pivotal role within the Diamond Club by overseeing event planning and execution, ensuring that every detail aligns with the club’s high standards and client needs. This role is integral to the success of the Diamond Club’s events, from the moment a contract is signed and deposit received, transitioning events from sales to execution teams, to managing on-site logistics and providing real-time client support. The Director leads all aspects of event detailing including timelines, floorplans, catering, decor, audiovisual needs, vendor coordination, and ensures that each event flows smoothly and efficiently.

Beyond event execution, this dynamic role encompasses a comprehensive marketing strategy responsibility aimed at boosting awareness and driving bookings for the Diamond Club. The Director develops and manages various marketing materials, digital campaigns, social media content, print collateral, menus, and signage, maintaining brand consistency and elevated presentation. Participating in industry events such as bridal shows and vendor showcases, and engaging with local business and tourism groups, the Director actively promotes the Diamond Club to a wider audience and fosters key partnerships.

Leadership and team management are also critical components of this position. The Director directly supervises and mentors part-time staff, notably the Events Intern, delegating administrative and marketing tasks to enhance operational efficiency. Job Duties

  • Lead the planning, coordination, and on-site execution of all externally booked events held within the Dragons Diamond Club
  • Serve as the primary on-site point of contact for event planners and clients, providing real-time support, coordination, and issue resolution to ensure a seamless, high-level guest experience
  • Oversee all event logistics including timelines, floorplans, catering details, décor, AV needs, vendor coordination, and day-of execution
  • Develop detailed run-of-show and EO documents to ensure alignment across departments
  • Manage and maintain the Special Events calendar, ensuring accuracy and alignment with game schedules, operational needs, and space availability
  • Oversee the conversion, setup, and reset of the Diamond Club between events and game days, ensuring the space is properly prepared and presented at a premium standard
  • Manage game-day event staff on-site within the Diamond Club, assigning responsibilities, setting expectations, and ensuring smooth execution
  • Build, maintain, and coordinate relationships with outside vendors, including preferred partners and new service providers, to support successful on-site events
  • Develop, document, and refine Diamond Club operational processes to improve efficiency, consistency, and overall execution standards
  • Continue to strengthen and develop the working relationship with PSC through regular EO meetings to align expectations for events and overall execution of food and beverage service within the Diamond Club
  • Develop and execute a comprehensive marketing strategy dedicated to the Dragons Diamond Club to increase awareness, drive bookings, and maximize space utilization
  • Create and manage all Diamond Club marketing materials including digital advertising, email campaigns, social content, print collateral, signage, menus, and sales materials
  • Maintain and update the Diamond Club website and event landing pages to serve as the primary marketing and information hub for clients and prospects
  • Lead the creation and implementation of in-game marketing elements promoting the Diamond Club (PA reads, radio/TV spots, LEDs, LCDs, signage)
  • Attend bridal shows, vendor showcases, and relevant industry events to promote the Diamond Club, ensuring consistent representation and lead generation
  • Participate in monthly business and tourism-related meetings (e.g., Destination Dayton) to increase awareness of the Diamond Club and build relationships with hoteliers, event planners, and industry partners
  • Ensure brand consistency and elevated presentation across all Diamond Club marketing channels and materials
  • Directly manage and mentor the part-time Events Intern, providing clear direction, project oversight, and professional development opportunities
  • Delegate marketing, administrative, and event-preparation responsibilities to the intern to support operational efficiency
  • Oversee intern onboarding, training, and performance to ensure alignment with Diamond Club service and execution standards
  • Provide hands-on supervision during events to ensure standards are met and service expectations are exceeded
  • Serve as the internal subject matter expert and primary cross-departmental resource for all Diamond Club operations and event-related coordination
