The candidate must not only design the operational system but also engage personally in detailed follow-through to ensure tasks are completed when necessary.

The new operations leader will command real authority over workflows, process standards, performance metrics, and the alignment of an established and multi-disciplinary team that includes client service, new business, marketing, office management, and project support. Candidates with prior experience in advisory firms, registered investment advisors (RIA), insurance or annuity companies, banks, trust companies, or other regulated client-service environments will find their background especially relevant. Familiarity with eMoney software is a plus, demonstrating comfort with industry-specific tools and technology.

Job Requirements

  • Full-time, in-person role based in Lincolnshire office
  • Minimum three years of operations management experience
  • Demonstrated ability to own and change operational processes and team workflows
  • Hands-on approach to managing and completing tasks
  • Experience working in regulated client-service environments preferred
  • Ability to collaborate closely with founder and senior leaders

Job Qualifications

  • At least three years of operations management experience with documented authority over processes or teams
  • Experience in advisory firms, RIA, insurance, annuity organizations, banks, trust companies, or regulated client-service businesses
  • Strong ability to document, train, chase, escalate, and close operational loops
  • Familiarity with eMoney software is a plus
  • Proven track record of implementing process improvements and owning operating metrics
  • Excellent communication and leadership skills suitable for close collaboration with company founder

Job Duties

  • Establish the weekly operating rhythm including priorities, owners, deadlines, and escalations
  • Design, document, and maintain the core client journey process including onboarding, review preparation, and post-meeting follow-through
  • Enforce standards and accountability through CRM and task discipline, service expectations, and key performance metrics
  • Work directly with the founder to translate priorities into executable plans and reduce founder bottlenecks
  • Get involved personally in detailed operational follow-through to ensure task completion
  • Align workflows and personnel across client service, new business, marketing, office management, and project support
  • Identify and resolve stalled work and process inefficiencies proactively
