Saint Mary's College is currently seeking a dedicated and experienced Director of Facilities and Events to join its Athletics Division. This full-time role is based at the main campus in Moraga, CA, and offers an annual salary ranging from $54,796 to $85,574, reflecting the importance of this position within the Intercollegiate Athletics Programs Department. Reporting to the Associate Athletic Director for Events and Facilities, the Director will play a pivotal role in managing the operational aspects of athletic facilities. This includes overseeing facility scheduling for twenty NCAA Division I teams, maintenance, rentals, as well as setup and breakdown for athletic events.
The successful candidate will lead game-day operations, ensuring seamless coordination among staff, vendors, officials, home and visiting teams, and fans to deliver an exceptional athletic event experience. The position demands strong leadership skills, the ability to manage multiple priorities simultaneously, and a comprehensive understanding of NCAA regulations, particularly those governing athletic-related income and benefits. Proficiency with Microsoft Office and the capacity to learn specific scheduling and event management software are essential. This role requires working irregular hours including evenings, weekends, and holidays to support the athletic event calendar.

Job Requirements
- Bachelor's degree from an accredited institution
- Minimum of three years of progressively responsible experience in athletic facilities management event operations collegiate athletics administration facility scheduling event management or a closely related field
- Experience coordinating athletic events game-day operations facility scheduling or event logistics
- Experience supervising training or coordinating employees student workers volunteers or event staff
- Experience working with multiple stakeholders such as coaches officials vendors campus partners or external clients to coordinate events or facility operations
- Proficiency in Microsoft Office applications Word Excel and PowerPoint and comfortable learning new scheduling or event management software
- Availability to work full-time on-site including evenings weekends holidays and other non-traditional hours as required to support athletic events
- Legal authorization to work in the United States
Job Qualifications
- Bachelor's degree
- Minimum of three years of progressively responsible experience in athletic facilities management event operations collegiate athletics administration facility scheduling event management or a closely related field
- Experience coordinating NCAA Division I game-day operations athletic facility rentals event logistics and supervising event staff is strongly preferred
- Demonstrated knowledge of NCAA Division I game management standards athletic facility operations and event logistics
- Proficiency with Microsoft Office Suite Word Excel PowerPoint and the ability to learn department-specific scheduling and event management systems
- Strong written verbal and interpersonal communication skills
- Demonstrated leadership skills with the ability to supervise train and coordinate student employees and event staff
- Strong organizational and project management skills with the ability to manage multiple events and competing priorities simultaneously
- Ability to establish effective working relationships with coaches student-athletes officials vendors campus partners and external clients
- Ability to work evenings weekends holidays and other non-traditional hours as required to support athletic events
Job Duties
- Run and organize all game-day operations for select sports as assigned by the Associate AD including hiring staff coordinating officials working with both home and visiting teams and coordinating fan operations
- Assist with athletic facility maintenance including buildings and field maintenance
- Assist with facility scheduling working closely with all 20 Division I teams in scheduling a facility usage schedule
- Coordinate athletic facility rentals including working on contracts supervising and running the rental and soliciting new rentals
- Coordinate all facility set up and breakdown for events and games in all athletic facilities
- Know recognize and comply with the laws policies rules and regulations governing the College and its employees and the rules of the National Collegiate Athletic Association including but not limited to NCAA Bylaw Article 11 and its requirement to report all athletically related income and benefits from sources outside of the College to the President and of the West Coast Conference as now constituted or as may be amended in the future
- Supervise and ensure that any assistants and any other employees and or volunteers for whom you are administratively responsible comply with the aforesaid policies rules and regulations
- Immediately advise the Director of Athletics if you have reasonable cause to believe violations whether by employees or students have occurred or will occur
- Other duties as assigned
