Job Description

The Institute of World Politics (IWP) is a prestigious academic institution dedicated to educating students in the fields of international affairs, national security, and related disciplines. The Director of Events at IWP is a pivotal leadership role that involves managing the full spectrum of event-related activities for the institute. Reporting directly to the Senior Vice President of Professional Affiliations, the Director will oversee a broad portfolio of events including open houses, board meetings, speaker series, special receptions, career seminars, graduations, private meetings, and the annual gala. The role demands a highly organized and proactive individual who can effectively coordinate logistics, vendor relations, registration, and support services. This position requires hands-on management before, during, and after events to ensure everything runs seamlessly. The Director will also be responsible for maintaining accurate records, managing the events team, and collaborating with multiple departments such as security and development.

The job requires the ability to communicate effectively with a diverse group of stakeholders, including speakers, attendees, vendors, and internal teams. Managing the event lifecycle involves everything from scheduling and room setup to multimedia coordination such as livestreaming and recording. Moreover, the role includes follow-up tasks such as content creation for podcasts and videos and post-event communications to maximize engagement. The Director of Events is not only tasked with operational excellence but also with contributing to the evolution of event procedures aligned with IWP's mission and strategic goals. The position demands flexibility in working hours including some evenings and weekends, occasional travel, and the physical capability to handle event equipment.

Job Requirements

  • Bachelor's degree or equivalent
  • Minimum 5 years experience in event management or event planning

Job Qualifications

  • 5+ years of experience in event management or related field

  • Proficient in Microsoft Office suite, internet, and email
  • Experience planning or managing large-scale formal events preferred

Job Duties

  • Manages preparation for all IWP sponsored events including room reservations, room setup, event materials, planning, logistics and execution
  • Creates schedules and run of show for staff to follow during events
  • Communicates with vendors and suppliers before, during, and after events
  • Manages registration prior to and during events
  • Oversees event logistics, livestreaming, recording, reception/catering assistance, and troubleshooting during events
  • Manages event follow-up correspondence including videos and podcasts
  • Maintains accurate records of attendance and speakers
  • Handles arising issues to ensure smooth event execution
  • Participates in development and refinement of event procedures
  • Manages the events team
  • Works collaboratively with Chief Security Officer and other staff
  • Performs other duties as assigned
