Job Description
The hiring establishment is a well-regarded university that focuses on hosting a variety of events through its Conference Services department. This department plays a critical role in managing and executing revenue-generating conference operations, which include third-party venue rentals, overnight summer programs, and visiting rowing programs on the DeLand campus. As an academic institution, it offers a dynamic and versatile environment for event management professionals to collaborate with multiple campus partners in delivering high-quality event experiences. It operates within standard business hours but requires flexibility for evening and weekend hours during peak event and summer seasons. Flexible scheduling is also available during non-peak periods, making it a balanced yet challenging workplace committed to excellence in event hosting and conference service management.
The role of Director of Conference Services is a senior-level position charged with overseeing the end-to-end management of the university's conference services. This includes providing leadership and professional expertise to meet and exceed revenue goals through strategic initiatives such as third-party venue rentals and various programs hosted on campus. The Director directly supervises the assistant director and additional conference service staff, ensuring a shared team approach that aligns with the university's mission and values. One of the core responsibilities is cultivating and maintaining strong relationships with clients and campus departments, acting as the primary contact during the initial client engagement stages and facilitating smooth communication among all stakeholders. The Director is deeply involved in coordinating high-level program logistics, preparing contracts, negotiating vendor agreements, and overseeing financial aspects including client invoicing and budget management. Furthermore, the Director monitors program performance to ensure goals are met, addresses complex issues that arise, and supports peak period University Events, emphasizing a balance between operational oversight and hands-on program planning involvement.
This role requires strong organizational and operational leadership skills, financial acumen, and the ability to supervise workflows and staff effectively. Individuals suitable for this position are expected to have a solid background in hospitality or event management, with significant experience in conference services, venue sales, and special event coordination, preferably within a higher education institution. The Director’s ability to navigate complex logistics, deliver exceptional client service, and maintain diligent oversight is essential for sustaining and growing the university’s conference services offerings. With 4-6 years of relevant experience and a Bachelor’s degree in Event Management or a related field, the candidate will be well-positioned to lead this department and contribute meaningfully to the university's broader events objectives. Reporting to the Executive Director of University Events & Conference Services, the Director of Conference Services plays a pivotal role in the university’s event management ecosystem, making it a rewarding opportunity for an experienced professional looking to advance their career in a stable and impactful environment.
