The role of the Event Coordinator within the Diocese of Charleston is essential for the successful planning, coordination, and execution of diocesan-wide events. This full-time, exempt position reports directly to the Director for Stewardship and Mission Advancement and is responsible for managing a diverse portfolio of events that include convocations for priests, retreats, Presbyteral Council meetings, and stewardship-related events. The Event Coordinator is tasked with overseeing all logistical elements, from venue selection and contract negotiation to catering, audiovisual needs, transportation, and overnight accommodations. This role requires a high degree of organizational skill, leadership, and the ability to effectively manage volunteers and collaborate with various stakeholders.

Beyond logistical coordination, the Event Coordinator plays a strategic role in stewardship event leadership and development. This includes overseeing fundraising activities, managing budgets, and developing innovative event experiences that deepen donor and parishioner engagement. The successful candidate will also be responsible for managing volunteer recruitment, training, and scheduling to ensure seamless event execution. Effective communication skills are vital, as the coordinator must maintain professional and clear interactions with clergy, staff, vendors, and attendees throughout the event lifecycle.

The position demands familiarity with Catholic liturgical practices and the orchestration of liturgical celebrations associated with stewardship and donor appreciation events. The Event Coordinator collaborates closely with parish staff, liturgical ministers, and diocesan leadership to ensure these religious components are appropriately planned and executed. The role also involves maintaining comprehensive records, monitoring budgets, and providing detailed reports and recommendations to diocesan leadership, ensuring compliance with diocesan policies and legal requirements.

Candidates for this role must possess a bachelor's degree or equivalent experience in event management or nonprofit administration, with a minimum of 3-5 years of relevant professional experience, preferably within faith-based or nonprofit organizations. The ability to manage large-scale events, fundraising efforts, and volunteers is critical. Preferred qualifications include working knowledge of Catholic liturgical practices, proficiency with Microsoft Office, and experience using event management and donor database software such as Blackbaud Raiser's Edge.

The physical demands of the position require the ability to operate standard office equipment, stand, walk, and carry materials up to 50 pounds during event setups and breakdowns. Flexibility to work occasional evenings and weekends is necessary based on the event schedule. Job Requirements

  • Bachelor's degree preferred or equivalent experience in event management, nonprofit administration, or related field
  • Minimum of 3-5 years of professional event coordination experience, preferably within a faith-based or nonprofit organization
  • Working knowledge of Catholic liturgical practices and the planning and coordination of Masses and other ecclesial celebrations preferred, including familiarity with the roles of liturgical ministers and ceremony protocols
  • Strong leadership and supervisory skills with the ability to motivate and manage diverse teams of volunteers
  • Excellent organizational skills with strong attention to detail and ability to manage multiple priorities under deadlines
  • Superior verbal and written communication skills, with demonstrated ability to interface professionally with clergy, staff, parishioners, and vendors
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel) and comfortable utilizing event management software, registration platforms, and donor management databases, including experience with Blackbaud Raiser's Edge or similar systems preferred
  • Ability to problem-solve, exercise sound judgment, and remain calm under pressure
  • Valid driver's license and ability to travel as necessary within the diocese
  • Practicing Catholic in good standing preferred

Job Duties

  • Lead end-to-end management for diocesan convocations of priests, retreats, Presbyteral Council meetings, stewardship events, and other special events as assigned
  • Plan event logistics including venue selection, contract negotiation, catering, audiovisual needs, transportation, accommodations for overnight events, and on-site event coordination
  • Develop detailed event timelines and checklists to ensure deadlines and milestones are met
  • Manage event registration systems and processes, including in-person, online, and phone registrations
  • Ensure smooth and professional communication with attendees, clergy, volunteers, staff, and vendors before, during, and after events
  • Lead the strategic planning, promotion, and execution of stewardship events designed to engage parish communities and supporters in the mission of the diocese
  • Oversee fundraising activities integral to stewardship events, ensuring alignment with diocesan policies and promoting best practices in donor relations
