This job opportunity is for the position of Development Representative II within the Food, Nutrition, and Wellness division of FDACS. This role is a career service position offering an annual salary range of $46,468.76 to $48,792.19. The Development Representative II serves as the division's primary Event Coordinator, responsible for organizing, managing, and facilitating meetings, events, and conferences that enhance the division's outreach and effectiveness. This role requires a strategic thinker with excellent project management skills to coordinate all logistical elements from pre-event planning to on-site event execution, ensuring smooth operation within budget and time constraints. Responsibilities include tasks like site selection, room arrangements, managing audio-visual needs, handling attendee logistics, vendor coordination, contract negotiation, budget management, and ensuring compliance with health and safety regulations.
The incumbent will work closely with division leadership and stakeholders to develop innovative event concepts and concepts that effectively communicate the division's goals and programs. The role encompasses overseeing the invitation process, attendee registration, volunteer coordination, promotional activities, and troubleshooting any challenges that arise during events. Experience in utilizing event management software and strong communication and negotiation abilities are crucial for success in this position.
Additionally, the position demands the creation and adherence to an annual budget for meetings and events to prevent cost overruns and maintain financial accountability. The Development Representative II will analyze event operations to identify improvement opportunities and contribute to the continuous enhancement of event quality and operational procedures. This role also includes representing the department at state and national meetings and conferences, building partnerships with vendors, venues, and tourism entities, and maintaining detailed records of all division events and venue options.
The position requires moderate travel, including some weekend and evening commitments for attending meetings and events, and a valid Class E driver license. Candidates must pass a background screening and fingerprinting as part of the hiring process. The ideal candidate is a highly organized, detail-oriented professional with the ability to multitask, negotiate vendor contracts, lead projects independently, and communicate effectively with diverse internal and external audiences.

Job Requirements
- High school diploma or equivalent seven years of professional or paraprofessional experience in marketing advertising public relations agriculture international affairs leisure services business or industry development travel industry or hotel or restaurant management
- Bachelor’s degree from an accredited college or university with major in marketing business merchandising economics agriculture international affairs leisure services or communications three years of professional experience in marketing advertising public relations agriculture international affairs leisure services business or industry development travel industry or hotel or restaurant management
- Master’s degree from an accredited college or university with major in business administration two years of professional experience
- Valid Class E driver license
- Moderate travel required
- Some weekend and evening travel required for attending meetings events and conferences
- Willingness to obtain additional training appropriate to job functions
- Successful completion of background screening including fingerprinting
- Completion of standard numerically based work sample with passing score
- Submission of honest and authentic responses throughout hiring process
- Ability to work in Tallahassee Florida
Job Qualifications
- High school diploma or equivalent with seven years of relevant professional or paraprofessional experience
- Bachelor’s degree from an accredited college or university with major in marketing, business, merchandising, economics, agriculture, international affairs, leisure services, or communications with three years of relevant professional experience
- Master’s degree from an accredited college or university with major in business administration and two years of relevant professional experience
- Proven knowledge of industry principles and practices of meeting and event planning
- Strong knowledge of effective communication principles and techniques
- Familiarity with program planning and evaluation techniques
- Experience with event management software such as Whova and Cvent
- Skilled in project management, scheduling, and estimating
- Proficient in Microsoft Office applications including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams
- Ability to conceptualize, develop, produce, and evaluate events
- Strong organizational and coordination skills
- Ability to negotiate and oversee contracts
- Research and data analysis skills
- Ability to establish and maintain effective working relationships

Job Duties
- Serve as the division’s Event Coordinator
- Conduct meeting and event planning, promotion, and execution according to division and department standards
- Manage all project delivery elements within time limits and budget
- Plan, organize, manage, and facilitate events promoting division programs
- Collaborate with division leadership and stakeholders to develop event concepts and ideas
- Handle pre-event logistics including site selection, room setup, audiovisual and technology needs, attendee arrival and flow, room block management, and ground transportation
- Manage event setup, breakdown, and follow-up activities
- Produce and deliver event run of show, site specifications, staff specifications, event walkthrough schedules, and other execution schedules
- Organize and manage invitation, registration, and attendee check-in processes
- Secure and train volunteers if needed
- Coordinate branding and promotional information to ensure effective event marketing
- Serve as primary point of contact during events and resolve any arising issues using tact and diplomacy
- Develop annual budget and plan for meetings and events, adhering to budget to avoid overruns
- Manage requests for proposals and negotiate and oversee vendor contracts
- Ensure compliance with insurance, legal, health, and safety requirements
- Review and reconcile vendor invoices to event budgets
- Process event invoices and purchasing charges promptly
- Coordinate event planning meetings and ensure detailed minutes
- Measure and evaluate effectiveness of events
- Establish and maintain standardized event operational procedures
- Analyze event operations to establish success metrics and propose improvements
- Research event planning tools and technology for improved satisfaction and participation
- Maintain communication with leadership and stakeholders during event planning
- Keep current with industry trends, cost drivers, market conditions, and economic indicators
- Represent the division and department at state and national conferences
- Build relationships with vendors, venues, and event professionals
- Maintain databases of division meetings, events, and potential venues
- Assist with emergency management functions during disasters
- Perform other related duties as assigned
