Job Description

The USS Midway Museum is a prominent historic floating ship museum located in downtown San Diego and is known as America’s most-visited museum of its kind. The position of Development Coordinator at the USS Midway Museum plays a crucial role in supporting the organization's fundraising efforts and ensuring the smooth operation of development initiatives. This full-time benefited role is scheduled primarily from Monday to Friday, 8:00 am to 4:30 pm, with occasional evenings and weekend commitments for special events. The hourly pay rate for this position is $27.00.

The Development Coordinator is responsible for accurately processing and acknowledging gifts from donors, maintaining data integrity within the donor management system, managing timely donor acknowledgments, and providing vital administrative support to the Development team. This position requires a detail-oriented individual who excels at managing data accurately, supports the execution of fundraising campaigns and events, and helps foster strong relationships with donors through timely communication and recognition. The role involves utilizing customer relationship management (CRM) software to record donations, generate reports, and perform data cleanup to ensure consistent and reliable donor information.

Additionally, the Development Coordinator assists with donor stewardship activities such as sending thank-you notes, making calls, and recognizing supporters, contributing to enhanced donor retention and engagement. Support for the annual gala and other special events, including ticketing, invitation preparation, and event logistics, is also a key aspect of this position. Strong organizational skills, computer proficiency including experience with Microsoft Dynamics or similar CRM systems, and the ability to work collaboratively within a team environment are essential elements of success in this role.

Working aboard an aircraft carrier museum requires physical ability to navigate stairs, ladders, and other equipment safely, with key tasks occasionally involving lifting, bending, and reaching. Job Duties

  • Records all gifts accurately using CRM
  • selects, prepares, proofreads, and sends appropriate individualized acknowledgements for all gifts based on predetermined criteria
  • processes and handles credit card information securely and accurately
  • ensures acknowledgement letters are accurate and complete for donors and mailed out within 48 hours of receipt of gift
  • processes data being communicated between Galaxy and CRM
  • generates accurate donor lists/reports for use in annual appeal, campaigns, recognition, and internal/external communications
  • conducts donor prospecting and research, identifying potential new supporters and providing insight to guide cultivation strategies
