This opportunity is for a part-time, in-person Operations Coordinator who will report directly to the DMC Director. The position requires hands-on involvement in all phases of program execution, starting from the proposal stage through to post-event closeout. The ideal candidate will support client programs by ensuring every element of the event runs smoothly and efficiently. Responsibilities include collaborating closely with sales teams during the planning and execution stages, securing qualified staff based on program needs, and maintaining communication with vendors to guarantee seamless program delivery.

The Operations Coordinator will also serve as a vital liaison during the handoff between sales and operations, taking responsibility for confirming staffing and vendor arrangements, and acting as a subject matter expert on event logistics. This enables the smooth transition of projects and ensures that all key stakeholders are well-informed and aligned with program expectations. Additionally, the role involves providing on-site support during program operations, managing onsite staff as necessary, and being available on-call throughout the event strike phase to quickly escalate and resolve issues.

Job Requirements

  • Bachelor’s degree or equivalent experience
  • 1-3 years of experience in destination management

Job Qualifications

Job Duties

  • Support sales team with project aspects including planning and execution
  • work closely with sales team to develop and maintain program documentation
  • accompany sales team for site inspections as needed
  • support sales team with vendor communication throughout program process flow
  • confirm staff requirements and secure qualified staffers
  • support operations manager through handoff process from sales to operating
  • confirm staff and vendors for secured business
  • act as subject matter expert on event logistics
  • create and maintain final program documentation
  • support program operations including onsite management
  • manage onsite staff hand off if applicable
  • support onsite team and escalate issues as necessary
  • remain on-call throughout event strike
  • support operations manager through closeout process
  • receive and save all final vendor invoices
  • attend industry events as needed
  • perform other duties as assigned
  • attend required internal trainings and team meetings
  • help maintain company culture by encouraging collaboration and positivity
  • take ownership of small internal projects
  • demonstrate positive attitude, professionalism, and reliability
