The role of the Care Advocate at Springfield Specialty Practice is an essential part-time position designed to support the clinical team by coordinating patient flow and enhancing communication among patients, doctors, practice managers, and clinic staff. Scheduled for two 10-hour days per week, alternating between Tuesday/Wednesday and Tuesday/Thursday, this role offers an expected hourly wage of $20 to $23. The Care Advocate acts as a vital bridge of communication, monitoring treatment completion and facilitating oral health improvement initiatives. They engage patients actively in their care plans, supporting therapeutic alliances between clinicians and patients by reinforcing provider recommendations, interventions, prescriptions, and recall appointments. Reporting directly to the Practice Administrator, the Care Advocate oversees daily schedules, maximizing efficiency and promptly addressing scheduling errors. They manage financial transactions related to dental services, ensuring accurate documentation and handling of payments while coordinating insurance verification and scheduling treatments as directed by clinicians.

Furthermore, the Care Advocate maintains organized patient charts, prepares new patient records, and ensures that all documentation follows established guidelines to support smooth patient appointments. They develop strong rapport with patients by providing clear and accurate information about treatment plans and answer any patient questions or concerns. Responsibilities extend to maintaining an organized and welcoming reception area, opening and closing the clinic, and partnering closely with the clinical team to enhance patient understanding of dental procedures and provider expectations. The Care Advocate also triages emergency and unplanned treatment calls, coordinates recalls, and facilitates referrals to both internal and external providers. Compliance with personal protective equipment (PPE) policies and a willingness to travel to other Willamette Dental locations as needed further underline the importance of adaptability and professionalism in this role. Reliable and predictable attendance is crucial, ensuring that patient care services are delivered seamlessly and consistently. This position is ideal for individuals with a passion for patient advocacy, strong communication skills, and an understanding of healthcare workflows in a dental setting.

Job Requirements

  • High school diploma or GED
  • Minimum of two years customer service experience
  • Knowledge of HIPAA compliance procedures
  • Ability to complete electronic exam on care advocacy
  • Ability to demonstrate case presentations to Managing Doctor and Practice Manager
  • Flexibility to work 2 ten-hour days per week on alternating schedules
  • Reliable and predictable attendance
  • Willingness to travel to other practice locations as needed

Job Qualifications

  • High school diploma or GED
  • Post-secondary coursework desirable
  • Minimum of two years customer service experience preferred
  • Medical/dental clinic or healthcare experience highly desirable
  • Strong knowledge of HIPAA compliance procedures
  • Ability to successfully demonstrate educational requirements regarding care advocacy via electronic exam
  • Ability to demonstrate case presentations regarding care advocacy to Managing Doctor and Practice Manager

Job Duties

  • Oversee the daily schedule
  • Seek opportunity to maximize scheduling efficiencies
  • Maintain awareness of schedule changes and promptly identify and correct scheduling errors
  • Understand payment methods and communicate fee requirements to patients
  • Collect and document payments for dental services
  • Responsible for proper handling of monies
  • Accurately balance daily payment ledger and reconcile payments
  • Properly complete M.O.O.L.A.H. form and forward to Accounting Department
  • Accurately complete deposit slips and make timely daily bank deposits
  • Update patient card, confirm and verify insurance information
  • Schedule treatment as directed by clinicians
  • Ensure charts are organized, prepared and available for patient appointments
  • Use proper chart routing processes
  • Perform chart maintenance as needed
  • Prepare new patient charts according to current WD guidelines
  • Duplicate charts and records as requested
  • Initiate a partnership and build rapport with patients by providing thorough and accurate information and addressing patient questions or concerns related to their treatment plan
  • Provide Statement of Services at each visit
  • Responsible for opening and closing the clinic
  • Responsible for keeping reception area neat and clean to instill patient confidence and comfort
  • Partner with clinical team to enhance understanding of dental procedures, treatment series and interventions to enhance patient understanding
  • Partner with clinical team to understand provider's expectations and reiterate communication directives to the patient
  • Partner with clinical team to triage incoming emergency and unplanned treatment calls
  • Ensure coordination of care by scheduling and reinforcing recalls, referrals to internal and external providers and answering patient questions related to their care
  • Strict adherence to Willamette Dental's Personal Protective Equipment (PPE) policy
  • Flexibility to travel to other WD locations within a reasonable range as needed
  • Reliable and predictable attendance is essential
