The position open at the Bellingham Practice is for a full-time Care Advocate working four 10-hour shifts per week, offering an hourly wage ranging from 22 to 25 dollars based on experience and qualifications. This role is essential in partnering with the clinical team to ensure a seamless patient experience from appointment scheduling to treatment follow-up. The Care Advocate acts as the communication bridge between patients, doctors, practice managers, and clinic staff. Responsibilities include coordinating patient flow, managing scheduling efficiencies, facilitating oral health improvement initiatives, and monitoring treatment completion. These duties directly support the goal of strengthening the therapeutic alliance between clinicians and patients.
Key functions of the role involve overseeing daily dental schedules, understanding and communicating payment and fee requirements, accurately managing all payment ledgers, deposits, and financial documentation, as well as updating and verifying patient insurance information. The Care Advocate ensures that patient charts are organized, prepared, and accessible for all appointments, supporting clinical workflow. They also take an active role in building rapport with patients by providing clear information about treatment plans and addressing any concerns to promote patient engagement.
Further responsibilities include opening and closing the clinic, maintaining a neat and inviting reception area, and acting in partnership with the clinical team to enhance patient understanding of dental procedures, treatment plans, and provider expectations. Handling emergency and unplanned calls, reinforcing recall schedules, coordinating referrals, and adhering strictly to personal protective equipment policies ensure compliance with health and safety regulations. Candidates must exhibit flexibility to travel between Willamette Dental locations as needed and maintain reliable attendance to support the clinic’s operational efficiency.

Job Requirements
- High school diploma or GED
- post-secondary coursework desirable or equivalent combination of education and experience
- minimum of two years customer service experience preferred
- medical or dental clinic or healthcare experience highly desirable
- strong knowledge of HIPAA compliance procedures
- able to demonstrate educational requirements regarding care advocacy in the form of an electronic exam
- able to demonstrate case presentations regarding care advocacy to the managing doctor and practice manager
Job Qualifications

Job Duties
- Oversee the daily schedule
- seek opportunity to maximize scheduling efficiencies
- maintain awareness of schedule changes
- promptly identify and correct scheduling errors
- understand payment methods and communicate fee requirements to patients
- collect and document payments for dental services
- responsible for proper handling of monies
- accurately balance daily payment ledger and reconcile payments
- properly complete M.O.O.L.A.H. form and forward to Accounting Department
- accurately complete deposit slips and make timely daily bank deposits
- update patient card
- confirm and verify insurance information
- schedule treatment as directed by clinicians
- ensure charts are organized, prepared and available for patient appointments
- use proper chart routing processes
- perform chart maintenance as needed
- prepare new patient charts according to current WD guidelines
- duplicate charts and records as requested
- initiate a partnership and build rapport with patients by providing thorough and accurate information
- address any patient questions or concerns related to their treatment plan
- provide Statement of Services at each visit
- responsible for opening and closing the clinic
- responsible for keeping reception area neat and clean to instill patient confidence and comfort
- partner with clinical team to enhance understanding of dental procedures, treatment series and interventions to enhance patient understanding
- partner with clinical team to understand provider's expectations and reiterate communication directives to the patient
- partner with clinical team to triage incoming emergency and unplanned treatment calls
- ensure coordination of care by scheduling and reinforcing recalls, referrals to internal and external providers and answering patient questions related to their care
- adhere strictly to Willamette Dental's Personal Protective Equipment (PPE) policy
- flexible to travel to other WD locations within a reasonable range as described in our Travel Policy as needed based on business need
- reliable and predictable attendance is essential
