The Care Advocate position at Willamette Dental's Lancaster Practice in Salem offers a full-time employment opportunity designed to integrate clinical coordination with superior customer service. This role operates on a schedule of four 10-hour days, totaling 40 hours per week, providing a balanced work routine. The expected hiring range for this position is $20 to $23 per hour, reflecting the responsibility and expertise required.

As a vital member of the clinical team, the Care Advocate plays an essential role in managing patient flow and fostering clear communication among patients, healthcare providers, practice managers, and clinic staff. This position involves acting as an intermediary between the patient and the clinical and administrative teams to ensure treatment plans are clearly understood, followed, and effectively executed. A key focus is on promoting oral health initiatives and enhancing patient engagement, which underscores the company’s dedication to preventative care and health education.

The Care Advocate’s responsibilities include overseeing daily schedules to optimize appointment efficiencies, managing payment collections, and ensuring accurate handling of financial transactions. Job Requirements

  • High school diploma or GED required
  • post-secondary coursework desirable or equivalent combination of education and experience
  • minimum of two years customer service experience preferred
  • medical or dental clinic or healthcare experience desirable
  • strong knowledge of HIPAA compliance procedures
  • ability to demonstrate educational requirements through an electronic exam
  • ability to demonstrate case presentations to Managing Doctor and Practice Manager

Job Qualifications

  • experience in medical or dental clinic or healthcare setting highly desirable

Job Duties

  • Oversee the daily schedule
  • seek opportunity to maximize scheduling efficiencies
  • maintain awareness of schedule changes and promptly identify and correct scheduling errors
  • understand payment methods and communicate fee requirements to patients
  • collect and document payments for dental services
  • responsible for proper handling of monies
  • accurately balances daily payment ledger and reconciles payments
  • properly completes required forms and forwards to Accounting Department
  • accurately completes deposit slips and makes timely daily bank deposits
  • update patient card, confirm and verify insurance information
  • schedule treatment as directed by clinicians
  • ensure charts are organized, prepared and available for patient appointments
  • use proper chart routing processes
  • perform chart maintenance and prepare new patient charts
  • duplicate charts and records as requested
  • initiate a partnership and build rapport with patients by providing thorough and accurate information
  • address any patient questions or concerns related to their treatment plan
  • provide Statement of Services at each visit
  • responsible for opening and closing the clinic
  • maintain reception area neat and clean
  • partner with clinical team to enhance understanding of dental procedures, treatment series and interventions
  • partner with clinical team to understand provider's expectations and reiterate communication directives to patients
  • triage incoming emergency and unplanned treatment calls
  • ensure coordination of care by scheduling and reinforcing recalls, referrals and answering patient questions
  • strictly adhere to Willamette Dental's Personal Protective Equipment policy
  • flexibility to travel to other WD locations as needed
  • maintain reliable and predictable attendance
