Located in a comfortable and caring environment, we are a medium-sized group practice, comprising three general dentists, four hygienists, six dental assistants, and five dedicated administrative staff members. We are currently seeking a skilled front office receptionist to join our busy dental practice. This full-time role is perfect for an individual with prior dental front office experience, especially someone who is proficient in coordinating dental insurance benefits for patients. As a front office receptionist, you will be vital to the smooth operation of our practice, responsible for managing the front desk alongside a team of four others, including our Chief Operations Officer and Chief Finance Officer. Your day-to-day duties will range from greeting patients with warmth and professionalism to managing appointments through our practice management software, Dentrix Ascend.
In this role, you will handle incoming phone calls, schedule appointments, check patients in and out, and assist with building treatment plans by liaising with clinical staff. Experience with dental insurance verification and documentation review is essential, as you will explain treatment plans and insurance coverage to patients clearly and accurately. You will also be involved in dental coding processes to ensure accurate billing and compliance with HIPAA regulations. Handling patient records within our Electronic Health Records (EHR) system will require maintaining confidentiality and meticulous organization.
We seek a friendly, kind, and good-spirited individual with a strong work ethic who can adapt quickly and start contributing almost immediately, aside from familiarization with our software. The role offers a competitive hourly wage between $22.00 and $24.00, based on experience level. Our office operates Monday through Friday, with early closure on Fridays at 12:30 pm to allow staff an extended weekend. Job Requirements
- Having prior experience working in a dental clinic is essential for this role
- Excellent customer service skills with the ability to handle phone communication professionally and courteously
- Bilingual abilities are a plus to effectively serve diverse patient populations
- Familiarity with insurance processes, dental terminology and health information management practices
- Demonstrated clerical experience including filing, data entry, and office management tasks
- Ability to maintain clinical confidentiality policies at all times while managing sensitive patient information
- Strong organizational skills with attention to detail in dental records management and appointment scheduling
- High school diploma or equivalent
- Additional certification in medical administration or front desk operations is advantageous

Job Duties
- Greet patients warmly upon arrival, ensuring a friendly and professional first impression
- Schedule appointments efficiently using dental practice management software, including EMR (Electronic Medical Records) system
- Verify patient insurance coverage and explain treatment plans, including dental insurance knowledge and documentation review
- Collect payments and perform dental collection activities in compliance with HIPAA regulations
- Manage patient records accurately within EHR (Electronic Health Records) system maintaining strict confidentiality
- Answer multi-line phone systems with excellent phone etiquette, directing calls appropriately and managing appointment reminders
- Support clinical staff by preparing patient route slips, updating medical records, and data entry tasks
- Dental coding processes to ensure accurate billing and compliance
- Maintain a clean and organized front desk area while adhering to clinical confidentiality policies
