This position requires exceptional communication skills to act as a liaison between patients and healthcare providers, particularly in guiding patients through appointment preparations and ensuring a positive impression of the organization. The dental front desk staff member also plays a key role in patient service by making reminder calls, rescheduling appointments when necessary, and assisting with mailings and other administrative projects as workflow permits. They must remain courteous and professional at all times, especially in handling sensitive situations with patients, including those who may be upset.
Maintaining confidentiality and securing patient information is a paramount responsibility of the role, aligning with HIPAA regulations to protect patient privacy. The dental front desk staff is also involved in inventory management and ordering supplies for the dental department, supporting the smooth operation of clinical activities. Job Requirements
- High school diploma or equivalent
- Previous experience in dental or medical front desk role preferred
- Ability to communicate effectively with patients and staff
- Proficiency in using scheduling and patient records software
- Knowledge of HIPAA and maintaining confidentiality
- Ability to multitask in a fast-paced environment
- Current basic life support certification or willingness to obtain
- Strong organizational skills
- Professional demeanor and customer service orientation
Job Qualifications
- High school diploma or equivalent
- Previous experience in medical or dental front desk or administrative role preferred
- Knowledge of scheduling software and patient management systems
- Strong communication and interpersonal skills
- Ability to multitask and handle a high volume of phone calls
- Understanding of HIPAA regulations and patient confidentiality
- Basic knowledge of dental office operations
- Current certification in basic life support (BLS) preferred
- Ability to work professionally under supervision and as part of a team
Job Duties
- Schedule appointments for patients
- Inform callers of required items for appointments including insurance cards and verification of income if applicable
- Remind callers to arrive early for paperwork completion
- Remind callers about cancellation and no-show policies
- Answer patient questions and provide information to ensure a positive service experience
- Act as a liaison between patients and Health Center, redirecting calls as necessary
- Use sound judgment in handling calls, escalating when appropriate
- Make reminder calls and reschedule appointments
- Assist with mailings and administrative projects as call volume permits
- Maintain current basic life support certification
- Participate in quality improvement initiatives
- Maintain courtesy and professionalism with patients and coworkers
- Ensure patient information is kept HIPAA secure
- Assist in inventory management and ordering of dental supplies
- Perform additional duties as assigned by the dentist
