The current opening at AriensCo Hospitality is for a seasonal, part-time Day of Event Coordinator position. This role is critical for managing multiple events held across various AriensCo affiliated properties, including Round Lake Farms, Stone Prairie, and the Ariens Nordic Center, as well as off-site corporate events. The Day of Event Coordinator is a service-oriented team player responsible for overseeing the execution of events ranging in size and complexity. The position requires outstanding organizational skills, attention to detail, and the ability to manage several tasks simultaneously while maintaining a seamless event experience for clients and guests.
On any given event day, the Coordinator works closely with the Operations Team and Kitchen Team to ensure exceptional customer service. They are tasked with overseeing the setup of ceremony and reception spaces in line with the clients’ vision, becoming the primary point of contact for all vendors, the wedding party, and family members. Ensuring timeliness and adherence to contractual obligations by vendors contracted through AriensCo Hospitality is a vital part of the job. The Coordinator manages the entire day based on the Banquet Event Order timeline, keeps all activities on schedule, and directs transitions between different stages of the event such as the ceremony, cocktail hour, dinner, and dancing.
Problem-solving is key, as the Coordinator must be prepared to handle unexpected issues discretely and efficiently. Providing clients with timing assistance, organizational support, and readiness guidance are also core responsibilities. Additionally, the Coordinator offers guest guidance regarding seating, directions, and schedules, while making sure VIPs, including parents and the wedding party, are coordinated and present at key moments. The Coordinator manages event deliveries—such as decorations, flowers, and rentals—and proactively troubleshoots any last-minute changes, delays, or emergencies that arise. Adherence to safety, sanitation, food handling, storage, and alcohol beverage control policies is strictly enforced.
This role demands flexibility, requiring availability during nights and weekends to support event schedules. Communication, collaboration, and multitasking skills are essential, as is the ability to remain calm under pressure and adapt quickly to changing circumstances. With a high school diploma or GED required and a preference for candidates with a bachelor's degree, the ideal candidate brings at least two years of relevant experience in event planning and sales, with preference given to those who have worked in hospitality or weddings.

Job Duties
