The District Attorney's office within Sedgwick County is seeking a responsible and highly organized individual to join their team as a Customer Service Specialist. This role is fundamental in maintaining the smooth operation of office functions through adept handling of advanced customer service tasks and meticulous processing of departmental documents following established policies and procedures. The position involves performing critical receptionist duties such as managing the front office atmosphere, answering and directing calls, and ensuring visitors are properly greeted and directed. In addition to reception responsibilities, this role requires administrative support tasks like scanning documents, managing reference materials, clipping and securing relevant newspaper articles, and preparing documents for pick-up. The position also entails specific duties tied to the eFile Traffic Control process for criminal cases, including timely monitoring of electronic files, accurately documenting and distributing filings according to protocols, verifying completeness, and organizing case files appropriately. This multifaceted job demands attention to detail, strong communication skills, and the ability to handle multiple tasks with accuracy and professionalism.

The Customer Service Specialist role in the DA’s office is scheduled Monday through Friday from 8 AM to 5 PM, offering a stable and predictable work schedule that supports work-life balance. Job Requirements

  • High school diploma or equivalent
  • Two years of clerical or secretarial experience
  • Ability to handle multiple tasks simultaneously
  • Strong communication and interpersonal skills
  • Proficiency in basic computer and office software
  • Ability to maintain confidentiality
  • Attention to detail and organizational skills

Job Qualifications

  • High school diploma or equivalent including or supplemented by courses in secretarial and/or business subjects
  • Two years of experience in varied clerical and secretarial work or any combination of training and experience that provides the required knowledge, skills and abilities
  • Bilingual Spanish preferred

Job Duties

  • Maintain a professional atmosphere in the lobby
  • Answer, screen, and forward incoming phone calls appropriately
  • Record staff out to destination and back in to our office
  • Greet and direct visitors to proper locations
  • Assist walk-ins as needed
  • Receive and sign for mail or deliveries
  • Ensure everyone entering secure office signs in as required
  • Scan documents at needed for assigned responsibilities
  • Clip newspaper articles marked for retention
  • Secure documents to be picked up from our office
  • Maintain updated resources and reference material
  • Monitor eFile emails in a timely manner
  • Document and distribute as needed based on established procedures and protocols
  • Verify filing as complete or notice addressed as needed
  • Move to appropriate folder
