Job Description

The Grapevine Convention & Visitors Bureau (CVB) is a prominent organization dedicated to promoting tourism and enhancing visitor experiences within the vibrant city of Grapevine, Texas. Known for its commitment to showcasing the area's unique festivals, events, and heritage attractions, the CVB plays a crucial role in connecting visitors with the city's rich cultural and historical assets. Grapevine is famously recognized for its charming historic downtown, award-winning festivals such as GrapeFest and Main Street Fest, and seasonal celebrations like the Christmas Capital of Texas and North Pole Express. These events not only attract thousands of visitors annually but also significantly contribute to the local economy by promoting hospitality, retail, and entertainment sectors. The CVB actively collaborates with local businesses, community organizations, and civic groups to deliver memorable experiences that highlight the city's distinctive character and hospitality.

This role is vital to the success of the Grapevine CVB's efforts by managing and expanding volunteer engagement and sponsorship sales for its diverse portfolio of events and attractions. The position focuses on developing and executing comprehensive strategies to recruit, coordinate, and retain volunteers essential to event operations, as well as securing corporate sponsorships that provide the financial and in-kind support necessary for festival and event success. This is a dynamic, full-time position centered on the strategic planning, implementation, and management of volunteer programs and sponsorship initiatives. The individual in this role works closely with various internal teams, including Marketing and Communications, Sales, and Festivals and Events Leadership, to ensure a seamless integration of sponsorship and volunteer activities that align with the CVB’s brand and operational goals.

Key responsibilities include creating and managing sponsorship packages, conducting sales outreach, and fostering long-term relationships with corporate partners to meet and exceed annual sponsorship goals. The role also entails developing volunteer recruitment campaigns, training programs, and engagement activities to build a robust network of committed volunteers that support all CVB events and heritage attractions. Data management is another critical aspect, involving the maintenance of accurate databases and the generation of timely reports on sponsorship sales, volunteer participation, and partnership outcomes. Events like Main Street Fest, GrapeFest, and the North Pole Express require meticulous planning and coordination of volunteers and sponsors to ensure successful execution, making communication and logistical coordination essential components of the role. This position demands excellent organizational skills, effective communication, and a proactive approach to community engagement, contributing significantly to both the operational excellence and financial sustainability of Grapevine CVB’s programs.

Job Requirements

  • Bachelor's degree preferred
  • Minimum of 2 years experience in sponsorship sales, volunteer coordination, or related field
  • Strong communication and interpersonal skills
  • Ability to manage multiple projects and deadlines
  • Proficiency with Microsoft Office and CRM software
  • Willingness to work flexible hours including evenings and weekends as event schedules require
  • Ability to interact professionally and respectfully with diverse groups and individuals
  • Reliable transportation
  • Regular and timely attendance

Job Qualifications

  • Bachelor's degree in business, marketing, public relations, nonprofit management, or related field preferred
  • Experience in sponsorship sales, volunteer coordination, event planning, or related roles
  • Strong interpersonal and communication skills
  • Ability to develop and maintain professional relationships with corporate sponsors and community partners
  • Excellent organizational and project management skills
  • Proficiency in Microsoft Office Suite and customer relationship management (CRM) software
  • Ability to work collaboratively within a team environment
  • Strong presentation and public speaking skills
  • Knowledge of event logistics and volunteer management practices
  • Experience with budget development and expense monitoring

Job Duties

  • Develops, implements, and manages sponsorship and volunteer programs to support Grapevine CVB festivals, events, and attractions
  • Identifies, solicits, and secures corporate cash and in-kind sponsorships to meet established annual goals, while maintaining and growing long-term sponsor relationships
  • Plans and executes sponsorship sales and marketing strategies through direct outreach, presentations, written proposals, and in-person meetings
  • Collaborates with Festivals and Events Leadership to develop and produce volunteer and sponsor activities and events throughout the year along with a monthly newsletter
  • Recruits, organizes, schedules, and trains volunteers to support all CVB events and Heritage attractions
  • Develops volunteer position descriptions, orientation materials, and training programs
  • Engages individuals, civic and service groups, corporations, and community organizations to recruit and retain volunteers
  • Promotes volunteerism through presentations and outreach to local and regional partners
  • Coordinates and communicates sponsor and volunteer logistics with the Festivals and Events team to ensure fulfillment of benefits, on-site requirements, and event staffing needs during setup, event hours, and tear down
  • Maintains accurate and updated reports and databases for sponsors, prospects, volunteers, vendors, and community partners
  • Provides weekly, monthly, and quarterly reports on sales, sponsorship activity, and volunteer participation
  • Works collaboratively with internal teams including Marketing and Communications, Sales, and Festivals and Events to ensure consistent messaging, accurate event information, and the successful delivery of sponsorship and volunteer initiatives
  • Develops and manages event and sponsorship budgets
  • Monitors expenses and operates within established guidelines
  • Represents the CVB at civic, service, and community meetings to promote sponsorship and volunteer opportunities
  • Fosters relationships, and enhances community engagement
  • Ensures timely and professional communication with sponsors, partners, and volunteers
  • Provides high-quality customer service before, during, and after each event
  • Performs related duties as assigned
  • Regular and timely attendance are required
  • Interacts professionally and respectfully with the public, coworkers, and others in the course of daily work
