The role of Client Service Representative (CSR) at Sylvan Veterinary Hospital is a pivotal position within the team, serving as the first and last point of contact for clients visiting the hospital. This part-time position requires weekend availability and offers a competitive pay rate of $17.00 to $20.00 per hour, based on experience. The CSR role is staffed to create a seamless front desk operation that bridges the communication between pet owners and veterinary professionals with compassion, patience, and understanding. Candidates who thrive in this position are skilled at managing front office tasks, responding empathetically in emotional situations, and providing exceptional customer service. This role involves scheduling appointments, managing records, handling client inquiries both in person and on the phone, and educating clients about wellness plans, pet insurance options, and products available in the hospital lobby.

Job Requirements

  • Minimum two years of customer service experience
  • Preferably two years of experience in veterinary or human medical setting
  • General computer skills
  • Proficiency with front desk equipment
  • Ability to triage patients
  • Excellent communication skills
  • Ability to handle stressful situations
  • Must be able to work seated for long periods

Job Qualifications

  • Two years of experience in a veterinary setting or human medical practice, preferred
  • Minimum two years of customer service experience required such as retail, food and beverage
  • General computer skills and ability to learn multiple programs
  • Proficiency in front desk equipment such as fax machine, credit card machine, copy machine, postage meter
  • Able to triage patients over the phone or in the waiting room to determine an emergency or routine office visit
  • Excellent communication skills and the ability to problem solve
  • Ability to handle stressful situations and prioritize tasks effectively
  • Team player, have patience and maintain a positive attitude
  • Must be able to work seated for the majority of the day

Job Duties

  • Deliver exceptional customer service to pet owners in a polite and timely manner both in person and over the phone
  • Schedule and confirm appointments, record keeping and organization, provide estimates and invoices for payment
  • Respond with compassion and empathy in stressful and emotional situations
  • Maintain a clean, stocked and orderly lobby and front office area
  • Educate clients on wellness plans, pet insurance, food and products sold in waiting room
  • Perform opening and closing procedures, end of day reports and deposits
  • Data entry including records, client questionnaires, referral information, etc.
  • Ensure that referral letters and lab results go to the corresponding veterinarians
  • Admit patient ensuring that patient is weighed and all information is current
  • Opportunities to learn Veterinary Assistant skills if desired
