The role plays a critical part in supporting international air and ocean import/export operations by acting as a pivotal communication link between customers, overseas offices, carriers, vendors, and internal departments. The Customer Service Coordinator is responsible for managing shipment processing from start to finish, ensuring that all documentation is accurate, customs requirements are met, and delivery coordination is executed flawlessly.

This role demands a candidate capable of handling multiple operational tasks such as preparing and submitting customs clearance documents, tracking shipments through each phase, coordinating freight pickups and deliveries, and maintaining organized shipment files. Job Requirements

  • High school diploma
  • 3+ years of related experience in air and ocean import or export operations
  • Knowledge of import/export regulations, domestic transportation modes, and transportation providers
  • Customer service experience with internal and external customers
  • Ability to work independently with minimal supervision
  • Strong time management, organization, prioritization, and deadline-tracking skills
  • Ability to identify when issues require escalation
  • Strong communication, collaboration, problem-solving, accountability, and customer-focused work style

Job Qualifications

Job Duties

  • Process air and ocean import/export shipments accurately and on time
  • Prepare and submit customs-related documentation for inbound cargo clearance as applicable
  • Follow customer-specific SOPs for required processes, data, and documentation
  • Track and trace shipments and coordinate with carriers, freight forwarders, CFS, trucking companies, overseas offices, agents, customers, and vendors
  • Arrange freight pickup and delivery with trucking providers
  • Maintain organized shipment files and track status through each operational phase
  • Serve as a primary customer contact for assigned accounts
  • Provide timely shipment updates and notify customers of delays, delivery status, or dispatch issues
  • Maintain and follow SOPs for assigned customer accounts
  • Confirm current pricing information before booking shipments
  • Address customer concerns, troubleshoot errors, and escalate service issues as needed
  • Review exception reports and resolve discrepancies
  • Provide backup support to assigned departments as needed
