The role of Customer Services Coordinator at UEI College’s campus is a vital position that supports the institution’s day-to-day functions by ensuring exceptional service to students, prospective clients, and visitors. This full-time role includes mandatory weekend hours on Saturdays from 8:00 AM to 1:00 PM, underscoring the importance of flexibility and commitment in serving the college community. As a Customer Services Coordinator, you will be the first point of contact for many who interact with UEI College. Your responsibilities will include welcoming visitors, answering incoming calls, and managing messages, ensuring that communication flows efficiently throughout the campus. You will play a critical role in upholding compliance with Federal, State, accreditation, and institutional policies, ensuring the college operates within its regulatory framework. In addition, you will provide general information about the organization, assist with scheduling and appointment management, and handle administrative tasks such as mail sorting and document preparation.
This position demands a high level of organizational skill, effective multitasking abilities, and a positive, customer-oriented attitude. Proficiency in English is required, and while bilingual skills are a benefit, they are not mandatory. The role also requires adaptability to work weekends and a commitment to delivering outstanding service consistently. Job Duties
- Complies with all Federal, State, accreditation and institutional policies and procedures
- welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel
- retrieve messages and voicemail and forward to appropriate personnel
- answer incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department
- takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable
- answers general questions about the organization and provides callers with address, directions, and other information
- monitors visitor access and issues passes when required
- updates appointment calendars
- receives, sorts, and routes mail, and maintains and routes publications
- maintains fax machines, assists users, sends faxes and retrieves and routes incoming faxes
- takes payment for services and products
- creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary
- performs other clerical duties as needed, such as filing, photocopying, and data entry
