The position of Customer Service Administrative Assistant is a crucial role within the Campus Store's Customer Service team. As a part-time position offering 15 to 20 hours per week with the possibility of weekend and late-night shifts, this role pays between $15.00 and $17.00 per hour, depending on experience. This position is responsible for providing comprehensive administrative and operational support to both the Customer Service Manager and the wider Customer Service department. The Assistant will handle routine yet essential tasks such as employee scheduling, managing staff communications, maintaining training documentation, ordering supplies, coordinating signage, and supporting inventory management for the Post Office section within the store.

The role demands exceptional organizational skills and a keen eye for detail, as well as the ability to juggle multiple priorities simultaneously while upholding professionalism and confidentiality at all times. Key responsibilities include maintaining accurate records and files both in electronic and paper formats, preparing administrative documents such as reports and spreadsheets, and assisting with special projects aimed at improving operational efficiency. This position plays an integral part in ensuring day-to-day workflows run smoothly and that the Customer Service team operates at peak effectiveness. Job Requirements

  • Proficiency with Microsoft Office Suite

  • Availability to work 15-20 hours per week including some weekends or late nights

Job Qualifications

  • High school diploma or equivalent
  • Additional education in business, office administration, or a related field is preferred
  • One year of administrative or office support experience, preferably in a retail or customer service environment
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word
  • Experience with scheduling software such as When I Work is preferred
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work independently while supporting multiple priorities
  • Strong attention to detail and commitment to accuracy
  • Experience with inventory records or retail administrative processes is preferred

Job Duties

  • Provide administrative support to the Customer Service Manager and Customer Service leadership team
  • Maintain employee training records, onboarding documentation, and departmental files
  • Prepare reports, spreadsheets, correspondence, and other administrative documents
  • Coordinate ordering, receiving, and inventory of office and operational supplies
  • Coordinate the creation, maintenance, and distribution of store signage and operational communications
  • Support Post Office retail inventory by maintaining inventory records, processing orders, and assisting with inventory accuracy
  • Maintain organized filing systems and departmental records, both electronic and paper
  • Answer phones, respond to emails, and direct inquiries to the appropriate department or staff member
  • Assist with meeting preparation, agendas, and follow-up documentation
  • Support departmental projects, process improvements, and other administrative initiatives
  • Maintain confidentiality when handling employee, financial, and operational information
  • Perform other administrative duties as assigned in support of Customer Service operations
