The position demands close attention to detail and proficiency in office procedures, cashiering, and bookkeeping functions. Candidates serve as backups for the Cashier and Vital Statistics departments, ensuring continuity in service operations. The role also involves direct public interaction, answering inquiries, guiding clients, and assisting other departments in document preparation for filing. Additionally, the employee participates as a Safety Committee Representative and supports departmental training and mentoring efforts aimed at fostering leadership, management, and technical skills among staff.

  • knowledge of cashiering and bookkeeping with great attention to detail
  • comprehensive knowledge of office practices and procedures including English grammar spelling and punctuation
  • customer service knowledge including assessing customer needs meeting quality standards and sound decision making based on Texas statutes and office policies
  • proficient in operating personal computer scanner calculator copier shredder typewriter telephone laser printer electronic time clock and fax machine
  • ability to read and write manuals office memos and letters
  • perform basic mathematical calculations analyze data and communicate effectively both in person and on the phone utilizing active listening skills
  • maintain effective positive working relationships with co-workers and public

Job Duties

  • Evaluate analyze and order weekly cash receipt ledgers in Eagle and Odyssey systems
  • identify discrepancies errors or issues and ensure corrective actions are taken
  • balance deposits and disburse weekly checks to the county treasurer or auditor
  • receive daily e-recordings and balance daily
  • receive automatic invoices apply them as ACH payments and balance monthly
  • daily balance of bank deposits to corresponding cash receipt ledger
  • receive daily escrow payments and apply funds to proper customer accounts
  • evaluate analyze and order disbursement reports in Eagle and Odyssey systems
  • balance report with check stubs and transfer report and stubs to treasurer or auditor
  • evaluate analyze and order monthly cash receipt ledger in Eagle and Odyssey systems
  • balance and transfer information to the county treasurer auditor
  • evaluate analyze and order monthly liabilities cash disbursements and cash receipts reports
  • identify discrepancies errors and issues and ensure corrective actions are taken
  • reconcile bank statements monthly
  • notify check recipients of outstanding status on two bank statements
  • notify cashier to stop payment on outstanding checks when efforts to contact recipients fail
  • prepare and submit to county treasurer a check collected weekly for the county clerk’s records preservation fund and track computer records
  • serve as backup cashier when cashier is absent
  • answer telephone inquiries instruct and inform the public as needed
  • assist other departments in preparing real property documents for filing
  • serve as backup to vitals department as needed
  • serve as safety committee representative
  • participate in training and mentoring to develop leadership management and technical skills
