Job Requirements
- Minimum of three years of focused experience in corporate travel industry or travel coordinator role
- Strong demonstrated working knowledge of corporate travel and related processes
- Proficiency in Microsoft Office Suite including Word Excel Outlook
- Available to support urgent traveler needs after hours and on weekends occasionally
- Acceptable pre employment background and drug test
- Requires prolonged sitting some bending and stooping
- Occasional lifting up to 25 pounds
- Manual dexterity sufficient to operate computer keyboard and calculator
Job Qualifications
- Bachelor's degree in Business Administration Hospitality Management or related field preferred
- Demonstrated experience with Concur Travel and Expense management system
- Experience training and supporting end users on travel management platform functionality
- Knowledge of travel related payment options and travel management system integration
- Experience in aviation environment or with flight scheduling software is a plus
- Strong negotiation skills securing optimal rates and terms with travel vendors
- Excellent written and verbal communication skills
- Advanced proficiency in travel platforms and expense management systems including configuration and reporting
- Problem solving abilities to address travel disruptions and develop alternatives
- Customer service orientation with commitment to positive travel experiences
- Analytical skills interpreting travel data identifying trends and cost-saving opportunities
- Ability to maintain confidentiality with sensitive travel information
- Time management skills to meet urgent deadlines and respond to last-minute changes

Job Duties
- Provide oversight and support of all business travel arrangements including commercial flights hotels ground transportation and meeting facilities according to company policy and traveler preferences through travel management applications
- Coordinate with Chief Pilot and Aviation Manager acting as point person for company flight processes liaising with business units and operational staff looking for process improvements
- Develop implement and maintain corporate travel policies and procedures within travel management system ensuring cost efficiency and compliance
- Serve as primary liaison between employees Travel Management Company and travel vendors to address inquiries and resolve booking issues
- Research and negotiate preferred rates and service agreements with airlines hotels car rental agencies and other providers integrating them into travel management system
- Assist in booking travel for infrequent travelers review and reconcile travel card transactions ensuring policy adherence
- Support travelers in resolving discrepancies in travel expense reports providing guidance on documentation and policies
- Monitor industry trends and travel advisories ensuring employee safety and provide timely updates on travel disruptions
- Generate and analyze reports on travel spending patterns and compliance to identify cost saving opportunities
- Coordinate group travel for conferences meetings and corporate events securing group rates and managing logistics
- Maintain accurate traveler profiles and preferences in travel systems to streamline booking
- Provide training and support to employees on travel policies procedures and travel management system utilization
- Stay current on international travel requirements including visas passports and health regulations informing travelers as needed
- Support miscellaneous Aviation department needs and contribute to role development and additional duties as assigned
