The position available is for a Meetings and Events Coordinator, responsible for the comprehensive planning, execution, and management of conferences, meetings, and events within the organization. This role requires technical expertise and strong organizational skills to create support plans that ensure the successful delivery of assigned programs. Candidates will be involved in all phases of event planning from conception to completion, working closely with business partners and internal teams to develop tailored event experiences.
The coordinator will handle all logistical responsibilities, including vendor management, scheduling, flight tracking, ground transportation coordination, and the preparation of support materials. Technical duties involve building and administering event registration sites and managing meeting-related data to ensure smooth operations. In addition, the role includes tracking expenses, preparing reports, and maintaining communication channels with all stakeholders, including vendors and attendees, to confirm that all event requirements are met accurately.
Onsite event management is also part of the role, requiring coordination of rooming lists, meal planning, and ensuring that all aspects of the event meet quality and budget expectations. The coordinator will be tasked with managing smaller scale or specific meetings independently and supporting larger events as needed. Responsibilities include negotiating contracts with venues and transportation providers, serving as a primary liaison with external vendors, and continuously seeking process improvements to optimize meeting planning workflows.
This is an excellent opportunity for candidates with four or more years of meeting and event planning experience who possess strong project management and communication skills. A bachelor’s degree in event planning, hospitality, marketing, or a related field is preferred, with a Certified Meeting Professional (CMP) designation considered a plus. Successful candidates will demonstrate the ability to work independently, efficiently manage multiple projects in a fast-paced environment, and engage professionally with all levels of management.

Job Duties
- Manage or provide support for planning and logistics of Corporate, Colonial Life and Unum meetings and events
- Work with business partners and Meetings and Events team to develop programs from conception to completion
- Perform meeting logistical tasks such as schedule design, flight tracking, and vendor order review
- Provide technical support by building and administering registration sites and meeting apps
- Maintain tracking of expenses and prepare tax reporting for incentive programs
- Develop and communicate meeting details to business owners, vendors, and attendees
- Assist in onsite operation management including transportation, rooming lists, and meal planning
- Manage smaller scale meetings and support larger events
- Collaborate with partners to determine meeting objectives, expectations, and budgets
- Manage development and delivery of materials and recognition awards
- Oversee budget management and expense reporting
