The role of Meeting and Incentive Program Manager at Amex GBT is a pivotal position that involves managing large-scale corporate meetings and incentive events. You will be responsible for overseeing all phases of assigned programs, from post-contract execution to final billing, ensuring seamless logistics and strategic implementation of event goals. Working closely with clients and suppliers, you will coordinate detailed project timelines, negotiate contracts, and manage compliance to deliver exceptional program results. As the primary point of contact, you will facilitate communication between internal teams and external partners, ensuring all aspects of the program—from registration and travel coordination to Vendor sourcing and budget management—are handled with precision.

Job Duties

  • create detailed project timelines and schedules with clients and suppliers to ensure the smooth operation of all program elements
  • review, negotiate, and manage supplier contracts to ensure compliance and optimal performance
  • facilitate communication between IT support and clients for web requirements on assigned programs
  • coordinate site inspections as necessary to ensure all venues meet program needs
  • compile a comprehensive program itinerary and working agenda, detailing all program specifics
  • maintain accurate records and file management as per American Express M&E and client policies
  • work closely with teams to manage registration, travel needs, and maintain ongoing communication throughout the program
  • source and coordinate ancillary vendors, such as security and photography services
  • manage special projects for VIPs and C-Level executives, building strong relationships with various stakeholders
  • oversee the overall program budget, auditing all related billing for accuracy and tracking expenses, providing consistent updates to clients
