The Communications Coordinator role at Atlas Air Worldwide is a pivotal position supporting the Communications team to achieve their annual goals and objectives. This role focuses on shaping the company culture, enhancing employee engagement, and aligning the workforce with the broader company strategy. The position encompasses a wide range of responsibilities including internal and external communications, digital and traditional media management, website maintenance, employee message distribution, event support, as well as various administrative tasks.

In this role, the coordinator will be tasked with managing a high volume of communication initiatives under tight deadlines, requiring excellent multitasking abilities, keen attention to detail, and working efficiently under pressure. Supporting senior leadership, particularly the Senior Director of Corporate Communications, the coordinator is responsible for tracking key projects, communication plans, and executive communication priorities to ensure smooth execution and timely completion. Interaction with multiple departments is a key element to fully understand the company's business environment and effectively support communication efforts.

Key communications responsibilities include drafting, editing, and distributing company communications such as emails, press releases, and intranet articles through appropriate channels. The role involves providing consistent support for the company's internal communication platform, InsideAtlas powered by Workvivo, ensuring that it remains a vibrant channel for employee engagement and experience. Coordinating logistics for town hall meetings, preparing executive communication materials, and supporting employee surveys with data analytics further contribute to the critical communications functions.

The coordinator also plays an essential role in maintaining the company’s website, ensuring functional and up-to-date content, including press releases and blog content on the external platform Tailwinds. The use of AI-enabled tools to assist content creation and communication planning is encouraged to maintain brand alignment and accuracy.

Supporting corporate meetings and events is another vital function of this role - organizing logistics and coordinating with departments such as IT and Facilities to ensure seamless delivery, as well as managing vendor communications. Additionally, in partnership with the marketing team and social media agencies, the coordinator helps prepare posts for the company’s presence on platforms like Facebook, Instagram, LinkedIn, and YouTube.

Job Qualifications

  • Bachelor’s degree in Communications, Public Relations, Marketing, Advertising or related field
  • 2+ years in a professional corporate environment preferably in Communications or Public Relations
  • Strong verbal and written communication skills

  • Strong planning, organizational, and execution skills with high attention to detail and accuracy
  • Advanced computer skills in MS Office including Word and PowerPoint
  • Experience with Photoshop, Adobe Illustrator, WordPress, Workvivo or similar platforms desired
  • Impeccable ethics, confidentiality, and ability to interact professionally with senior leadership and executives
  • Motivated and able to juggle multiple deliverables effectively and efficiently
  • Requires minimal supervision and strong independent thinker
  • Ability to work well under pressure and handle confidential issues professionally
  • Experience supervising vendors such as graphic design firms, printers, and audio/visual companies
  • Professional and positive attitude with internal and external clients

Job Duties

  • Support a high-volume of communication initiatives, meeting tight deadlines, multi-tasking and working under pressure, and with an eye for detail
  • Provide coordination and administrative support for key Corporate Communications initiatives led by the Senior Director, Corporate Communications
  • Track key projects, deliverables, communications plans and executive communications priorities
  • Proactively follow up on all tasks for which the function is responsible
  • Timely and accurate completion of tasks
  • Complete ad hoc duties as needed
  • Interact with other departments to understand the key components of the company’s business
  • Support preparation, drafting, editing and distribution of communications including company emails/announcements, press releases, intranet posts and articles
  • Provide proactive and consistent support for InsideAtlas, powered by Workvivo including auditing and clean-up of existing materials
  • Draft/edit messaging, prepare presentations and coordinate logistics for Town Hall meetings
  • Support the execution of employee surveys and use data analytics to present findings
  • Manage a robust internal communications calendar including message development, approval tracking and distribution
  • Support preparation of executive communications materials and briefing documents for senior leadership
  • Support maintenance of the company website ensuring functionality and updating information including press releases
  • Support content development and distribution for the company’s external blog Tailwinds
  • Leverage AI-enabled tools for content development, editing, research and communications planning
  • Assist planning, logistics, and coordination of internal/external meetings such as annual Leadership Meeting and Town Halls
  • Coordinate logistics with other departments such as IT and Facilities
  • Support vendor communication and follow up
  • Prepare social media posts in partnership with the Marketing team and external agencies
  • Assist with meeting all deadlines in the yearly Marketing/Communications Plan
  • Support maintenance of digital photo library in the Brand Center and fulfill requests for images and logos
