This position is for a full-time Administrative Assistant role supporting key personnel including the Corporate Administrator, executive leadership, and the Bid Division Manager. The ideal candidate will be highly organized with exceptional attention to detail and a proactive approach to handling various administrative tasks. Responsibilities include managing schedules, coordinating meetings via Microsoft Teams, drafting and finalizing legal and corporate documents, maintaining compliance with regulations, and assisting with special projects that involve cross-functional teams. The role demands proficiency with Microsoft Office Suite specifically Excel, Word, Outlook, and Teams, strong communication skills across all organizational levels, and a high level of confidentiality and professionalism. The salary range for this role is $24.00 to $26.00 per hour. Job Requirements
- Associate's degree or higher in electronics or related discipline
- Proven experience as an administrative or executive assistant or similar support role
- Experience in construction, AV, or related technical field
- Strong communication and interpersonal skills
- Proficient in Microsoft Office Suite
- Familiarity with OSHA and safety regulations
- Ability to type 60 plus words per minute
- Excellent writing skills
- High level of organization and self-motivation
Job Qualifications
- Proven experience as an administrative or executive assistant or in a similar support role
- Experience in construction, AV, or a related technical field
- Associate's degree or higher in Electronics or a related discipline
- Strong communication and interpersonal skills at all organizational levels
- Excellent writing skills with a polished, professional tone
- 60 plus WPM typing speed with strong attention to detail
- Proficient in Microsoft Office Suite especially Excel, Word, Outlook, and Teams
- Familiarity with safety standards and OSHA regulations
- Organized, tech-savvy, self-motivated, and able to handle competing priorities
Job Duties
- Provide administrative support to the Corporate Administrator and executive team
- Act as a backup to the Corporate Administrator during absences
- Coordinate meetings via Microsoft Teams including scheduling and follow-up
- Draft, edit, and finalize reports, correspondence, legal documents, and meeting minutes
- Maintain and update corporate documents and shared files
- Conduct research on new jurisdictions, regulations, and compliance topics
- Manage special projects involving cross-functional teams
