Reporting to the Director of Special Events at the High Museum of Art, the Coordinator, Special Events plays an integral role in the success and seamless execution of the museum’s special fundraising and community events. This role is a full-time, exempt position within the United States, offering an exciting opportunity for individuals with a passion for arts administration and event management. The Coordinator is responsible for a wide range of administrative, operational, and logistical tasks that support key fundraising events including The High Museum of Art Wine Auction, the Driskell Prize Gala, and the Paladin Dinner. These events are vital for driving revenue and sustaining community engagement, making this role pivotal in amplifying the museum’s reach and impact.
The ideal candidate is a highly organized and detail-oriented professional with strong written and verbal communication skills, capable of managing complex workflows and timelines. They will work closely with the Director and the Special Events team to manage day-to-day tasks such as scheduling meetings, maintaining internal calendars, and handling financial processes like vendor payments and reimbursements. Expertise in Tessitura and Microsoft Office tools is essential for managing guest lists, tracking RSVPs, and creating detailed, customized reports that inform event strategies and internal communications.
In addition to administrative responsibilities, the Coordinator undertakes important guest communication duties, offering a concierge-style experience to donors and special guests through attentive RSVP management and event check-in support. This role also involves supporting event production by coordinating logistics such as venue setup, vendor communication, event timelines, and volunteer coordination. Success in this role requires a collaborative spirit, flexibility to work evenings and weekends during event times, and the ability to effectively work across multiple departments.

Job Requirements
- Bachelor's degree in Hospitality, Arts Administration, Marketing, Communications, or related disciplines
- 2-3 years of experience in event coordination or fundraising nonprofit administration
- Proficiency in Tessitura and Microsoft Office
- Strong administrative and organizational skills
- Ability to manage multiple timelines and priorities
- Experience coordinating volunteer engagement and event logistics
- Excellent written and verbal communication skills
- Comfortable working evenings and weekends as needed
- Basic math skills including budgeting and calculating quantities
- Ability to lift up to 20 pounds
- Prolonged periods of sitting and computer use
Job Qualifications
- Bachelor's degree in Hospitality, Arts Administration, Marketing, Communications, or related disciplines
- Minimum of 2-3 years of professional experience in event coordination, fundraising nonprofit administration, or a related field
- Experience working with CRM or event management databases (Tessitura preferred)
- Excellent written and verbal communication skills
- Ability to manage multiple timelines and priorities
- Experience in volunteer coordination and event material preparation
- Strong organizational and team collaboration skills
Job Duties
- Provide day-to-day administrative and logistical support for the Special Events team including scheduling meetings, maintaining internal calendars, and office supply management
- Support financial workflows for Special Events by processing vendor payments, filing invoices, and coordinating reimbursements and expenses
- Pull customized financial and event-related reports ensuring accuracy and clarity
- Support guest list workflows by pulling and maintaining invitation lists in Tessitura and Excel
- Coordinate digital and print invitation deployments and mailings
- Track RSVPs and provide concierge-style responses to donor inquiries and guest submissions
- Serve in on-site event roles such as check-in and guest wayfinding
- Support event leads with planning and execution by coordinating logistics including timelines, vendor communication, venue setup, and event prep and follow-up
- Manage event materials and supplies including inventory and preparation for events
- Assist with volunteer coordination by managing assignments, schedules, and communication for select events
